The HR Administrative Assistant plays a pivotal role in supporting the Human Resources Department by managing various administrative functions with a high degree of confidentiality. Key Responsibilities:

  • New Hire Onboarding: Assist with the coordination and execution of emailing the offer letters, new hire onboarding, orientations, ensuring that all required paperwork, including I9, E-Verify, and benefits documentation, is collected, completed, and accurately processed. Maintain meticulous records and ensure compliance with company policies and legal requirements.
  • Training Coordination: Schedule and coordinate training sessions for new and current employees, ensuring that all necessary materials and resources are prepared and available. Track and report on the progress of training initiatives.
  • Administrative Support: Perform a wide range of administrative duties, including maintaining and updating employee databases, organizing physical and digital files, and ensuring the accuracy and accessibility of records. Assist in the preparation of HR-related documents, reports, and presentation materials.
  • Employee Attendance and Leave Management: Maintain accurate records of employee attendance, leaves of absence, and other time-off requests. Collaborate with payroll to ensure timely and accurate processing of employee pay and benefits.
  • Compliance and Record Keeping: Ensure that employee files are complete, up-to-date, and compliant with company policies and legal requirements. Regularly audit files to identify and correct any discrepancies.
  • Event Coordination: Assist with the planning and execution of company events, meetings, and outings, including logistical arrangements and communication with participants. Support the implementation of employee recognition programs and other initiatives to foster a positive workplace culture.
  • Payroll Support: Provide assistance with payroll administrative duties, including responding to employee inquiries, troubleshooting issues, and generating reports as needed.
  • Assistant to VP of HR: Manage the calendar, including scheduling meetings, appointments, and travel arrangements. Coordinate and organize meetings, including preparing agendas and taking minutes. Handle sensitive and confidential information with the utmost discretion. Assist with special projects and tasks as assigned by the VP.
  • General Duties: Perform other administrative tasks and projects as assigned by the HR department to support overall team objectives and company goals.

Qualifications:

  • 2+ years of HR administrative experience preferred.
  • BS in HR, Business Management or similar preferred.
  • A genuine interest in pursuing a career in Human Resources / People Operations and a desire to gain hands-on experience in the field.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to manage both hard copy and digital records efficiently, ensuring they are organized and easily retrievable.
  • Strong commitment to providing excellent customer service to employees and external stakeholders, with a focus on responsiveness, professionalism, and accuracy.
  • Excellent organizational and time management skills, with a keen eye for detail. Ability to proofread documents and ensure numerical accuracy.
  • Strong interpersonal and communication skills, with the ability to handle sensitive and confidential information with discretion, tact, and diplomacy.
  • An energetic self-starter who takes initiative, demonstrates a bias toward action, and is capable of working independently as well as part of a team.
  • Willingness to travel to multiple locations locally throughout Gardner and Orange, MA with reliable transportation and flexibility in scheduling.
