Role Description:

We are seeking a highly organized and proactive Office Manager to join our dynamic team at a growing CPA firm. This role goes beyond traditional administrative tasks, as the Office Manager will also take on operational responsibilities, ensuring our office runs efficiently even in a virtual setting. The successful candidate will handle administrative duties, manage communication flows, oversee office equipment, and ensure the delivery of exceptional customer service. Additionally, the Office Manager will be instrumental in streamlining operational processes and supporting the management team in operational tasks and decision-making.


Responsibilities:

  • Administrative Management: Handle daily administrative tasks to ensure the company's operations run smoothly. Manage schedules, correspondence, and filing systems.
  • Communication Coordination: Serve as the primary point of contact for internal and external communications, ensuring clear and professional interactions.
  • Equipment and Technology Oversight: Manage and procure office equipment and technology, troubleshooting issues and ensuring all team members have the resources they need to work effectively.
  • Customer Service Excellence: Deliver outstanding service to clients, addressing inquiries and ensuring a positive experience with our firm.
  • Operational Support: Assist in the development and implementation of office policies and procedures. Contribute to the strategic planning of operational activities to improve efficiency and service quality.
  • Project Management: Oversee special projects, coordinating with various team members and ensuring deadlines are met.


Qualifications:

  • Excellent communication and interpersonal skills, capable of maintaining strong relationships both internally and externally.
  • Proven experience in administrative assistance, with a keen understanding of office management tools and procedures.
  • High proficiency in using modern office equipment and technology, with a strong ability to troubleshoot and resolve issues.
  • Exceptional customer service skills and a commitment to delivering high-quality support.
  • Thorough knowledge of office administration and operational processes.
  • Ability to work independently and effectively in a remote setting, demonstrating self-motivation and organizational skills.
  • Previous experience in the financial industry is highly desirable but not required.
  • Bachelor’s degree in Business Administration, Management, or experience equivalent.
