We're a small Landscape Design & Build firm in Richmond and we're looking for a long term, responsible part-time (with the possibility of full time after 6 months of training) Office Manager with full range office administrative and clerical experience.
Construction Office experience a plus.
- Experience as an Office Manager or Office Admin Assistant (2 years minimum)
- Experience with QuickBooks Online, Google Suite, DropBox Sign/HelloSign (Sheets, Docs & Slides)
- Experience with time management and the ability to prioritize work
- Attention to detail and problem solving skills
- Strong organizational skills with the ability to multitask
- Excellent written and verbal communication skills
- Team player with a positive mindset, good attitude and able to work with different personality types
**Primary responsibilities include**:
- Provides general office coordination and full-charge bookkeeping (on site only, this is not a remote position):
- All phases of accounting through financial statements including payroll, accounts payable, general ledger and accounts receivables
- Work with our CPA on a quarterly and annual basis
- Insurance support and document preparation as needed (GL & WC Audits, Etc.)
- HR support: new employee documents, employee files, office policy
- Answering phones/greeting clients
- Contacts management
- Mail and package distribution
- General supply orders for all departments: Office, Build (PPE), Design
- Scanning, filing and general document control
- Event support, including arranging occasional catering for lunches and company holiday party
- Prepares materials for meetings & tailgates, and ensures they are organized and distributed
**Skills required include**:
- Excellent communication skills
- Ability to prioritize and work quickly
- Ability to juggle multiple projects
- Willingness to take direction and work closely with the CEO and Senior Project Manager
- Ability to work independently
- Fastidious attention to detail
- Strong work ethic
- Desire to do good work and do it well
- Positive attitude
