Our client is looking to fill the role of Administrative Assistant to assist the Merchant Operations and Finance team. You will be responsible for managing the CFO’s calendar, coordinating meetings, and assisting with invoice processing and payments. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment. This position is hybrid and based out of Stamford. CT.


  • $75-$80k plus paid overtime and bonus


Responsibilities:


  • Manage and maintain the Merchant Operations & Finance team calendars, schedule meetings, appointments, and travel arrangements.
  • Coordinate logistics for meetings, including preparing agendas and following up on action items.
  • Assist in the preparation and processing of invoices, ensuring accuracy and compliance with company policies.
  • Monitor and track payment schedules, ensuring timely payments to vendors and service providers.
  • Serve as a point of contact for internal and external stakeholders, responding to inquiries and providing information as needed.
  • Prepare and distribute correspondence, reports, and presentations as directed by the CFO.
  • Maintain organized filing systems, both electronic and physical, for financial documents and records.
  • Assist with various administrative tasks, including data entry, expense reports, and office supply management.


Required Qualifications:


  • Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • 5+ years of experience as an administrative assistant, preferably in a finance or accounting environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with accounting software (e.g., SAP) is a plus.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent verbal and written communication skills.
  • Attention to detail and a high level of accuracy in work.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
