Job Description:

OPERATIONAL DEPARTMENT MANAGEMENT

  • Analyze the effectiveness of, and establishes direction for, policies, programs, and procedures; document and implement steps to streamline processes
  • Ensure and maintains a high level of support for faculty and programs
  • Assess current and potential future needs of both faculty and programs
  • Ensure that resources are utilized efficiently and effectively
  • Maintain an in-depth understanding of the programs and support needs within the departmental units
  • Maintain an overall understanding of functions and needs across the CoL
  • Cultivate and maintain strong working relationships throughout the CoL and identify opportunities for collaboration
  • Seek methods to make administrative and support processes more efficient and/or transparent to faculty members; develops (or leads the team in developing) tools to do so
  • Design training materials (for example, new technology, internal processes, etc.) for faculty
  • Develop new services to support faculty teaching and scholarship

DEPARTMENTAL STAFF DIRECTION

  • Direct the Faculty and Academic Support Department (FASD) staff efforts
  • Create and enforce performance standards and accountability measures
  • Analyze staff members' responsibilities and assignments; determine workload capacities, and ensures that equitable; provide quality support for all applicable programs and faculty members
  • Identify opportunities for collaboration with other departments, and among the team
  • Primary contact for faculty and program directors, to maintain equity
  • Maintain an inclusive working environment free from discrimination and harassment
  • Communicate Human Resources (HR) policies and resources, with guidance from HR
  • Responsible for the hiring process for all department positions; screening and interview candidates; onboard new hires
  • Develop and manage onboarding and ongoing training for department
  • Manage the annual appraisal process by utilizing UF tools and procedures and provides coaching as needed; identify opportunities for improvement throughout the year; assist staff members in developing and/or advancing skills.
  • Strategize how to move the department forward, what resources to develop, additional services to add, etc.
  • Develop strategy for communication and project management within the team; develop methods of tracking and monitoring support data; provide reports and analysis (as needed)
  • Ensure that continual training and development opportunities are provided for staff members- Provide motivation and promote a cohesive team environment

DIRECT FACULTY SUPPORT

  • Work with faculty members and their assistants at key points in their career (newly hired, promotion and tenure reviews, retirements, etc.) to assist with transitions
  • Provide additional support to faculty members, based on needs, support committees

PROJECT MANAGEMENT

  • Manage clerkship letter process; develop system to ensure quality and accuracy, track outgoing letters, and communicate status with career development
  • Develop systems to effectively process purchasing card payments and reimbursements for faculty members in UF GO.

RESEARCH & OTHER SUPPORT FOR ASSOCIATE DEANS & SPECIAL PROJECTS

  • Advise and support senior administrators in issues related to faculty and academic support
  • Perform research and analysis; prepare findings, memos, etc.
  • Manage various projects
  • Provide reporting and analysis for various faculty activities and programs to support strategic planning and faculty development

FACULTY DEVELOPMENT

  • Supervise academic assistant for faculty development; ensure that the associate dean's needs are met
  • Oversee publication of faculty scholarship and activities both on the website and internally
  • Lead FASD staff in providing and developing support for faculty scholarship

INSTRUCTION & ONLINE LEARNING

  • Provide technical support and assistance to faculty members in using new and/or emerging technology
  • Train FASD staff members in providing support for online learning via Canvas
  • Lead FASD staff members in providing and developing support for instruction

COMMUNICATIONS & COLLABORATION

  • Develop and maintain partnerships throughout the CoL and UF
  • Oversee department communications
  • Maintain the faculty resource and support SharePoint site
  • Attend committee and management meetings (as necessary

DEPARTMENTAL ACTIVITIES & PROFESSIONAL DEVELOPMENT

  • Lead departmental meetings to keep team members informed and provide a high level of customer service and information to faculty members, students, and colleagues
  • Use a variety of programs to complete work and maintain proficiency
  • Attend and participate in development and training workshops, courses, etc.
  • Gain new knowledge and skills
  • Broaden technical experience
  • Motivate staff members to enhance and further develop skills.

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Experience working directly with law faculty members

  • Experience with software, such as Microsoft Office, Adobe, course management systems (such as Canvas), etc.
