What is this job?

As an HR Assistant specializing in data entry, you will hold a pivotal position in maintaining precise and current employee records, all while upholding compliance with State and Federal regulations. Your role is integral to supporting the HR team in meeting crucial deadlines efficiently. Your duties will encompass proficiently managing HR data, processing documentation, and aiding with compliance-related tasks. Offering general administrative support to the HR department, including filing, copying, organizing documents, and responding to inquiries from employees and external parties.

  • Understands all HR/training regulatory requirements and ensures all records and practices are in compliance (i.e. Licensing, Medicaid, CARF, etc)
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Assist the HR Onboarding Specialist with various onboarding tasks, including initiating DocuSign for onboarding documents, coordinating Concentra drug screenings, TB tests, and physical examinations. Assist with creating company badges for new hires. Help new hires complete initial RCYCP applications, which may involve requesting transcripts, facilitating fingerprinting, and scheduling initial exams.
  • Serve as a backup for the HR team by proctoring Residential Child and Youth Care Professional (RCYCP) exams.
  • Review and proofread company policies and procedures, as well as develop departmental Standard Operating Procedures (SOPs).
  • Precisely entering employee information into HR databases to guarantee accuracy and completeness.
  • Create employee files; supports HR data audits by verifying and filing all necessary documents to ensure compliance. Ensuring the timely and accurate filing of HR-related documents, both electronically and in hard copy.

What experience and education do I need?

  • Bachelor's degree
  • Minimum 3-5 years of experience in office setting
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficient in creating engaging and visually appealing presentations using Microsoft PowerPoint and other design tools.
  • Prior experience in data entry, or administrative roles, preferably in an HR setting.
  • Strong attention to detail and accuracy, particularly in tracking deadlines and managing timelines.
  • Must be able to multitask in a fast-paced environment.
  • Excellent organizational skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with a customer service-oriented approach.
  • Ability to handle sensitive and confidential information with discretion.
