Development and Alumni Relations (DAR) supports Johns Hopkins’ focus on research, teaching and patient care, and its role as a national and global leader in higher education. We create and foster enduring relationships that result in advocacy and philanthropic support for Johns Hopkins University & Medicine—strengthening the institution through partnerships with donors, alumni, volunteer leaders, faculty, students, staff, and patients.

Johns Hopkins University supports a flexible work model which includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of three days per week. The manager will confirm the team’s core onsite days where the majority/all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.

The Development Coordinator for the Center for Talented Youth (CTY) is an integral member of a highly successful development and alumni relations (DAR) team. This position is vital to the success of the donor and alumni relations, and fundraising efforts. Reporting to and providing direct support to the Chief Development Officer (CDO), this position will manage the operations of the team, support DAR events, and handle administrative functions for the CDO.

The Development Coordinator must be able to exercise a high level of professionalism, judgement and tact in the resolution of administrative issues and perform under pressure with a high degree of accuracy, speed and diplomacy. The position requires excellent communication, computer, and time management skills and the ability to think independently.  

Key responsibilities: 

Operations Management (50%)

Maintain comprehensive knowledge of the donor and prospect database (JHAS) and the CTY registration database (CIS). Enter and maintain donor/alumni information updates and development/engagement activity including but not limited to proposals, visit notes, and strategy notes. Responsible for all gift processing, including gifts with registration. Serve as liaison to DAR Office of Advancement Services, working to understand their processes and procedures. Serve as main point of contact for the office; answering calls that come into the main office telephone line and responding to messages in the office email account. Manage P-Card for CTY Development Department. Manage travel expenses in Concur for CTY Development Department. Regularly handle highly confidential materials, both written and sensitive conversations that require independent judgement and discretion. Generate and maintain the DAR events calendar and timelines.

Leadership and Team Administrative Support (35%)

Provide administrative support for the CDO, including calendar management, expenses, travel booking, and database updates. Update CTY Development Department policies and procedures on a regular basis. Manage scheduling and agenda for team meetings and annual retreat. Recommend, develop, and implement policy and procedural changes to improve operations of the office. Work with vendors to process payments and ensure proper protocols are followed. Support CDO by providing monthly budget updates. Ensure office infrastructure (lighting, furnishings, storage spaces, etc.) are functioning properly, work with JHU Facilities for needed repairs or replacement. Function as part of the CTY Administrative Team as needed for larger group projects and assignments. Oversee DAR calendar to ensure office coverage, maintaining a current list of staff who maintain flex schedules and keeping the office apprised of hybrid and remote working arrangements. Support the prospect briefing creation process.

Events Management and Programming Support (15%)

Partner across DAR team to manage and execute DAR event logistics, including development of event registration forms, event communications (mailings, emails, webpages, etc.), rsvp tracking, on-site event management and event follow-up. Prepare the CDO for several Board meetings and events per year, including the gathering, production and distribution of all materials for the CTY Advisory Council, including but not limited to generating meeting collateral, scheduling meetings, tracking attendance, attending meetings, minute taking, and drafting correspondence to Advisory Council member. Staff events as needed. Other duties as assigned.



Minimum Qualifications

High School Diploma or graduation equivalent. Three years related administrative experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications

Bachelor’s degree preferred but relevant development or business experience is highly valued. Strong computer literacy and the ability to learn new software; comfort with Microsoft Office Suite, particularly in Excel, Word, and PowerPoint. Competency in formatting Word documents and completing mail merges. SAP experience highly preferred. Excellent writing and communication skills. High degree of professionalism and confidentiality. Strong interpersonal and organizational skills; ability to manage multiple projects simultaneously and effectively. Ability to work as part of an effective team securing the success of the Development and Alumni Relations program. Flexibility to work occasional evenings or weekend hours as needed for events.
