Definition of Class

Executive Assistant for the Small Business Development Center

This position functions as the principal support to an executive officer. The incumbent performs both administrative and clerical duties with broad latitude and judgment, within the framework of sound office practices for performing duties that involve a high degree of proficiency, discretion and confidentiality. The work involves frequent contact with persons within and outside of the University system for the purpose of exchanging information. The incumbent receives instructions on a general basis from immediate supervisor and may coordinate the work of other support staff. 

Examples of Work Performed

Stakeholder Coordination and Support

-Assist in scheduling and coordinating meetings with key stakeholders, including internal university departments, state and federal legislators, and community leaders, ensuring all necessary materials and information are prepared in advance.
-Manage stakeholder communications and follow-ups, maintaining strong relationships and ensuring alignment with the SBDC's mission and objectives.
 

Advisory Board Management

-Coordinate the activities of the SBDC's advisory board, including scheduling meetings, preparing agendas, and distributing materials.
-Maintain communication with advisory board members, ensuring they are informed and engaged with the centers initiatives and strategic goals.
-Assist in the preparation of reports and presentations for advisory board meetings, and track action items and follow-up tasks.
 

Community and Legislative Engagement

-Coordinate and participate in engagement events, workshops, and seminars to promote SBDC services and resources to key stakeholders across Mississippi.
-Maintain a database of community partners, university departments, and legislative contacts, facilitating regular communication and collaboration.
 

Data Collection and Reporting

-Compile, analyze, and report on key performance indicators (KPIs) related to stakeholder outcomes, economic impact, and program effectiveness.
-Assist in preparing detailed reports and presentations for internal and external stakeholders, including funding agencies and legislators.
 

Resource Management

-Assist in the development and management of the SBDC's resource library, including business templates, guides, and other educational materials for stakeholders.
-Coordinate the acquisition and distribution of educational materials to stakeholders, ensuring they have access to the resources needed for informed decision-making.
 

Event Planning and Coordination

-Plan and coordinate events, workshops, and training sessions for stakeholders, including logistics, promotion, and follow-up.
-Manage registration, materials, and communications for events, ensuring a high level of participant engagement and satisfaction.
 

Support for Strategic Planning

-Assist the Executive Director in strategic planning activities, including scheduling planning sessions, preparing materials, and tracking action items.
-Support the development of long-term plans to expand and enhance SBDC services in the region, in alignment with stakeholder needs.
 

Compliance and Reporting

-Ensure compliance with federal, state, and local regulations related to small business development programs, including the preparation of necessary documentation and reports.
-Assist in maintaining records for audits and program evaluations.
-Performs related or similar duties as required or assigned.

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.

-Coordinates and maintains calendar of appointments.
-Prepares, compiles and organizes data for complex filing systems, reports, forms, minutes, or materials.
-Makes arrangements for travel, conferences, and meetings.
-Assists in the preparation of budgets and University forms.  

Minimum Education/Experience

Education:
Graduation from a standard four-year high school or equivalent (GED).

AND

Experience:
Four (4) years of experience related to the above described duties.

Preferred Education/ Experience:
Bachelor’s Degree from an accredited college or university

AND

Four (4) years of experience related to the above described duties to include Microsoft Office products, Google Suites and project management applications such as ASANA..
