POSITION SUMMARY: The Administrative Assistant provides administrative and secretarial support to the Administrator/Executive Director. Prepares correspondence and documents, coordinates meetings, maintains files and records, receives and directs visitors, gathers data, and prepares a variety of recurring and special reports. Handles or assists with administrative matters of a confidential nature, frequently involving sensitive internal and/or external contact.

 

EDUCATION, TRAINING, EXPERIENCE, CERTIFICATION AND LICENSURE: High school diploma plus Associates Degree in Secretarial Science preferred and/or comparable secretarial education/experience. Must have typing, dictation, word processor/computer skills. Knowledge of general office equipment, dictation equipment is required. Possess strong interpersonal skills, basic math, medical terminology, excellent oral and written communication, tact and diplomacy, excellent telephone etiquette and customer service, strong organizational and priority skills are required.

Requires a minimum of three years experience in related jobs.

 

SPECIAL EQUIPMENT, SKILLS, OR OTHER REQUIREMENTS: Ability to multi-task and set priorities. Ability to interact effectively with customers.

 

PHYSICAL DEMANDS: Minimum physical effort required: long periods of intermittent sitting and standing with limited freedom of movement, occasional lifting, bending, stooping, pushing and pulling. Good visual acuity, hearing and musculsketal function. Concentration needed to assimilate and prioritize information given from many sources and the ability to assist in problem resolution, coping with anger/fear of others in a calm manner, display a high degree of patience and empathy and ability to handle multiple priorities at one given time.
