Helium SEO seeks a dynamic Executive Assistant to join our growing team. This crucial role will provide administrative and operational support to our Director of Sales, helping to streamline processes, manage pipelines, and enhance overall sales efficiency.

What You'll Do:

  • Provide administrative support to the Director of Sales
  • Manage scheduling and follow up on proposals
  • Document processes and maintain organized records of activities 
  • Build and maintain reports using Hubspot and other tools
  • Qualify leads promptly prior to scheduling with a sales team member, demonstrating solid client-facing communication skills
  • Prepare and manage Sales Orders of Work (SOWs) and proposals using tools like Google Sheets, PandaDoc, and Docusign
  • Assist in training sales representatives on the sales documentation process
  • Potential to assist with email management and other administrative tasks as needed
  • Triage administrative work, including listening to sales calls and implementing action items from meetings

Required Skills

  • Excellent communication skills, both written and verbal
  • Strong attention to detail and ability to multitask
  • Proactive and self-motivated work ethic
  • Ability to work independently and as part of a team
  • Confidence in calling and qualifying leads for the sales team
  • Willingness to learn and adapt to new processes and technologies
  • Understanding of basic pricing structures and proposal creation
  • Preferred: Experience working in Hubspot
