    Responsibilities:

    • Maintain the front office reception desk greeting visitors in a friendly manner, answering and redirecting phone calls, managing/updating the phone system, handling mail, faxes, and shipments, sending and responding to emails, and managing printing and copying
    • Manage office supply inventory and track/report Building Maintenance needs
    • Prepare conference rooms or outside venues for meetings and events
    • Maintain detailed calendars, coordinate schedules, prioritize meeting requests and logistics, and arrange all aspects of travel
    • Establish/maintain a record-keeping system for contacts, files, and employee directory
    • Assist the Controller and the Accounting Department in daily AP/AR transactions/entries and other support duties
    • Prepare customer lien waivers for signature
    • Report and enter intercompany cost-clearing
    • Oversee and maintain the organizationâs fleet of cars, trucks, and trailers
    • Post social media content to drive company awareness
    • Other duties as assigned

      Qualifications:

      • Experience in an administrative support and/or receptionist role required
      • Experience with Jonas Construction Software or other accounting software
      • Experience entering accounting data
      • Knowledge and experience in professional social media
      • Microsoft Office Suite proficiency
      • Ability to work independently, while multi-tasking office requests
      • Excellent written and verbal communication skills
      • Scheduling and project management skills
