Role Overview: This multifaceted position involves supporting administrative functions and business operations within a mid-sized company. The ideal candidate is highly organized, proactive, and experienced, capable of managing day-to-day administrative tasks, overseeing office operations, and providing executive support.

Key Responsibilities:
Administrative Support:
  • Provide comprehensive administrative assistance to senior executives, including managing calendars, arranging travel, and handling correspondence.
  • Prepare and edit documents, reports, and presentations for both internal and external meetings.
  • Coordinate and schedule meetings, conferences, and events.
  • Office Management:
    • Oversee daily office operations to ensure smooth functioning.
    • Staff Management:
      • Supervise one administrative assistant.
      • Develop and implement office procedures to enhance efficiency.
      • Foster a positive work environment.
      • Project Management:
        • Lead and manage special projects assigned by executive leadership.
        • Coordinate cross-functional teams to meet project milestones.
        • Provide regular updates to stakeholders on project progress.
        • Executive Support:
          • Act as a liaison between executive leadership and various departments.
          • Prepare and review executive-level communications and reports.
          • Attend meetings on behalf of executive team members when necessary.
          • Take detailed meeting notes for executive team members.
          • Budget Management:
            • Monitor expenditures and ensure adherence to company guidelines.
            • Provide financial reports and analysis to senior leadership.
            • Compliance and Risk Management:
              • Ensure compliance with company policies and regulatory requirements.
              • Handle confidential information discreetly.
              • Executive Accountability:
                • Monitor executive schedules to meet timelines and deadlines.
                • Provide timely reminders and follow-ups on tasks, meetings, and project milestones.
                • Track progress on executive action items and provide status updates.
                • Personal Support:
                  • Manage personal appointments for senior executives.
                  • Coordinate personal events and activities (e.g., family gatherings, travel, entertainment).
