Home to NASCARâs Championship Weekend, Phoenix Raceway has been the premier motorsports venue in the Southwest since 1964 and hosts two NASCAR race weekends each year. In March, the Ruoff Mortgage 500 NASCAR Weekend kicks off the race season at Phoenix Raceway, featuring the NASCAR Cup Series, NASCAR Xfinity Series and ARCA Menards Series. In November, champions will be crowned in the NASCAR Cup Series, NASCAR Xfinity Series, NASCAR Camping World Truck Series and ARCA Menards Series West. Phoenix Raceway also hosts a variety of events throughout the year, including corporate meetings and conferences, charity events, holiday events, sport and endurance competitions, driving schools and Segway tours.

The Event Experience Coordinator is responsible for driving the creation and execution of engaging fan experience initiatives at Clash at the Coliseum, California Speedway and Phoenix Raceway. As part of the West Region Event Experience team, the Event Experience Coordinator is responsible for assisting with all programming across race weekends, including Midways, Infield Experience and Camping. This person must be able to think strategically and creatively, balance multiple responsibilities and can easily collaborate with internal and external stakeholders.

Responsibilities/Duties/Functions/Tasks

  • Work in conjunction with the West Region Event Experience & marketing teams to brainstorm, plan and execute a comprehensive at-track fan experience strategy for camping and fan areas including booking entertainment, interactive displays, kidâs activities, photo elements and display areas
  • Collaborate with the Event Experience team on brainstorming, planning and executing engaging content, entertainment, etc. for the PHXR Midway, Infield and Campgrounds
  • Serve as the lead when ideating and coordinating engaging content, entertainment, etc. for the PHX Midway
  • Oversee the planning and execution of the 5050 NASCAR Weekend Raffle in Phoenix to benefit Arizona Accelerator Charities, an arm of the NASCAR Foundation; while also assisting with other in-market Charity efforts
  • Develop and execute kids programming across the region that cultivates and retains new young fans inside the NASCAR Kids Zone & with Kids VIP during NASCAR Weekends
  • Assist the West Region Marketing & Content team with copy-writing, creative briefs & overall promotion of race weekend event experience
  • Assist with booking entertainment, handling contracts & COIs, coordinating schedules and managing any other needs for various entertainment on race weekend
  • Work with the Event Experience and regional marketing teams to review and & manage consumer-facing event signage in coordination with the partnership and operations teams
  • Cultivate & maintain meaningful relationships with local area universities and their sports business clubs, formulating opportunities for students to assist at the track
  • Collaborate with the regional marketing, ticketing and group sales teams to execute specific ticket package experiences on event weekends
  • Support the Sr. Director of Event Experience in the planning and execution of both pre-race ceremonies and post-race celebrations, collaborating with industry stakeholders to deliver a seamless production to fans in attendance
  • Other duties as assigned

Qualifications

  • Bachelor's degree from four-year college or university and/or training; or equivalent combination of education and related experience.
  • Sports marketing or event management experience a significant plus
  • Self-starter who takes initiative and is able to take a project from start to finish
  • Strong ability to think strategically, creatively and quickly
  • Excellent time management skills, attention to detail and the ability to multi-task and prioritize work;
  • Strong communication skills, both written and verbal. 
  • Ability to work through on-site event logistics and think operationally is a must
  • Team player capable of managing multiple priorities in a dynamic, fast-paced environment.
  • Ability to coordinate and deliver multiple projects at once within strict deadlines
  • Must be able to work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) workdays and extended numbers of days.  (Race events)
  • Possession of or ability to obtain an Arizona driverâs license

Physical Demands

While performing the duties of this job, the employee is regularly required to stand and walk; use hands to finger, handle or feel; sit; reach with hands and arms; and talk or hear. The employee is occasionally required to stand.  Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.  The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
