Job Description:

Global Mobility Support Specialist

In support of our continued global expansion, we are seeking to add a skilled Global Mobility Support Specialist to our established Global Mobility (GM) team. The ideal candidate will be a team player with demonstrated experience working effectively and inclusively with remote teams across differing time zones. As this is a remote role, having a dedicated workspace is required. The expectation is you will work core hours aligned with the rest of the team.

The Parsons GM team is a highly-functioning, tight knit group, consisting of the Director of Global Mobility, and three Sr. Global Mobility Specialists. We work seamlessly to deliver critical cross-functional support for the global mobility needs of Parsons, including immigration, domestic and international permanent relocations, and temporary assignments. We maintain a sharp focus on compliance in everything we do. What You’ll Be Doing

In this role, working at the direction and under the supervision of the Global Mobility Specialists and the Director of Global Mobility, you will provide support for the day-to-day operations of the Global Mobility Programs at Parsons. You will be expected to apply your mastery of software programs in the execution of your daily activities. Successful candidates must have a proven track record of working effectively in a complex, multi-needs business environment dealing with a variety of different priorities and issues, with accuracy and timely execution.

Successful candidates must be able to produce accurate and consistent work product, maintain databases, use tact and discretion; interact effectively with employees and other internal contacts; learn and adapt to new technology as it relates to job function and procedures; maintain confidentiality of information; pay attention to detail; work effectively despite interruptions; take direction regarding the planning, organization and prioritization of work, and ensure all aspects of support activities are carried out flawlessly.

Responsibilities

In addition to representing and promoting Parson’s core values of Safety, Diversity, Quality, Innovation, Integrity, and Sustainability during all contact with internal colleagues and external partners, ongoing responsibilities include, but are not limited to, the following:

Invoicing Support:

  • Review vendor invoices for accuracy.

  • Prepare invoices for submission by ensuring correct cost coding (confirming code with project contact and ensuring charge codes are active).

  • In a timely manner, record and upload vendor invoices into our tracking system in SharePoint, route invoices to the correct team for processing, input invoices and tax/gross-up entries into the OCR system for processing, ensure proper breakdown of costs included in invoice detail.

  • Work with Finance to identify where credit invoices should be sent for processing.

Assignment Program Support:

  • Serve as the Global Mobility Salesforce Queue Owner, ensuing all GM-related inquiries are routed to Service Cloud for triage. Track status of open cases and ensure proper follow-up and closure of all inquiries.

  • Process Microsoft Forms questionnaire submissions for Assignment Agreements. Review incoming Forms submissions. Determine if all necessary information has been provided and communicate with requestor to acknowledge submission and to request any missing information. Log Forms submission on tracking log.

  • Using Microsoft Word, prepare Assignment Agreements which align with the Microsoft Forms questionnaire submissions and internal documentation standards.

  • Once finalized, distribute agreements to requestor. Track distribution and return of executed agreements in Salesforce and engage in timely follow-up for all outstanding agreements. Ensure proper filing/storage of executed agreements on shared drive and within Workday, as applicable.

  • Create and maintain IA and Domestic Assignment records in Workday.

  • Run Workday reports to track upcoming assignment agreement end dates and work with PMs to determine if amendment required or if records should be closed.

  • Support the application process in applying for Certificates of Coverage in connection with U.S. and Canada Totalization Agreements.

Centralized Foreign Travel Assessment Process Support:

  • Assist with reviewing and processing foreign travel assessment requests to provide Global Mobility approval.

Cross-program Support:

  • Assist with flagging and filing of Global Mobility Team mailbox emails.

  • Ensuring the other members of the Global Mobility Team are properly updated on the status of assigned activities.

  • Assist with compiling data for quarterly metrics reporting.

  • Properly organize and maintain all files, records, and correspondence relating to the inquiry or set-up of mobility matters (includes documents of a routine and confidential nature).

  • Review and maintain accurate reporting data in a variety of systems, including Excel, internal HR systems, vendor-specific systems, etc.

What Skills You’ll Bring

  • Bachelor’s degree or equivalent years of experience preferred.

  • Minimum of 3 years of work experience, preferably in a Human Resources administrative support services role.

  • Strong ethical and analytical skills.

  • Ability to interact and build relationships.

  • Salesforce and Workday experience a plus.

Success Factors: The following are the anticipated success factors for this position:

  • Proficiency in a variety of software programs, including Salesforce, Workday, Microsoft Word, Microsoft Excel, PowerPoint, Adobe Acrobat document creation/editing, Workday, SharePoint, and Microsoft Teams. Familiarity with Visio desirable.

  • Must possess excellent written, verbal, and interpersonal communication skills.

  • Must be able to multitask.

  • Must exhibit excellent judgment and discretion regarding confidential matters.

  • Strong organizational, recordkeeping, and relationship building skills.

  • Proven ability to follow directions and execute assigned tasks with precision, accuracy, and in a timely manner.

  • A strong focus on customer service.
