Since its opening in 1996, the arena has been the centerpiece of sports and entertainment in the greater Philadelphia region and prominently featured in the national spotlight. Rated the #2 arena in the U.S. and the #6 in the world over the last decade by number of concert tickets sold, with 2.7 million+ annual visitors and 270+ annual events.
The 21,000-seat arena is a showcase arena for the company’s industry-leading qualities as an operator and an innovator in the live event experience. In addition, the Wells Fargo Center has recently undergone an ambitious, $400 million transformation that has completely reimagined the look and feel of the venue.

Under the general direction of Director, Events, the Coordinator, Hospitality & Events is responsible for providing professional client services support in planning, managing, and executing the hospitality program and events at Wells Fargo Center. This position will work alongside and assist the Director, Events position throughout the events calendar at Wells Fargo Center. This includes tenant events, corporate events and meetings, entertainment and hospitality events, and other events as assigned. The position will liaison with clients, internal departments, and external stakeholders. The Coordinator, Hospitality & Events must have excellent communication skills and the ability to build and maintain relationships with internal and external clients.

Essential Duties and Responsibilities : 
  • Develop and execute hospitality and added value experiences for Wells Fargo Center clients, including, but not limited to artists, agents, managers, promoters, and touring personnel.
  • Stay up to date on current trends and enhancements to create unique client and artist experiences
  • Coordinate dressing and signage requirements with local vendors and partners
  • Implement hospitality operational plans and strategies to enhance overall guest experience
  • Implement gifting program from ideation to delivery for Wells Fargo Center clients, including, but not limited to artists, agents, managers, promoters, and touring personnel.
  • Activate Wells Fargo Center back of house hospitality areas as needed on event days for talent and touring personnel.
  • Develop, manage, and report event project budgets
  • Greet and escort clients to suites and seating
  • Liaise between the venue and its clients, ensuring all elements of clients’ events are thoroughly vetted among the departments while insuring adherence to all appropriate regulations and policies.
  • Develop the operational plan for each assigned event and create complete and accurate production notes based on advance material and distribute to all staff.
  • Oversee and coordinate all aspects of event planning, event management, and event execution including site visits, client liaison, load-in/load-out, creating event layout, on-site staffing plans, estimates, and settlement.
  • Work closely with all internal departments while coordinating day to day meetings, hospitality events and events/shows.
  • Build and maintain relationships with outside vendors for show rentals, stagehands, runners, etc.
  • Other duties may be assigned as needed, including supporting Director, Events on large-scale events.

Qualifications:
  • Bachelor's Degree preferred in Event Management or Hospitality Management.
  • A minimum of 1 year experience in venue events management and coordination, preferably in the sports, entertainment, convention or exposition industry.
  • Strong project management and organization skills in which attention to detail and the ability to prioritize and manage multiple tasks/projects on time and within budget.
  • Ability to demonstrate leadership skills.
  • Excellent ability to establish rapport with others and the ability to build strong interpersonal relationships.
  • Exceptional relationship-building skills demonstrated with the ability to develop and maintain positive
  • long-term relationships with outside vendors.
  • Ability to communicate clearly in a professional manner both verbally and written.
  • Exhibit good judgment, make sound decisions quickly, be proactive and anticipate needs of clients.
  • Ability to meet tight deadlines, multi-task proficiently, work well under pressure with attention to detail and be creative with solutions to client needs.
  • Ability to relate to a diverse customer and employee base.
  • Knowledge of Microsoft Word, Excel, and Outlook.
  • Previous experience with Concur, Event Booking, and AutoCAD is a plus.
  • Must be able to work flexible hours, including days, evenings, weekends, and holidays.
Physical Requirements
  • Position requires the ability to sit for extended periods of time, stand, walk, run, reach with hand and arms, talk and hear, and the ability to lift and/or move up to 25 pounds.
  • Position requires the ability to use hands and fingers on office and mobile technology.
  • Position requires the ability to listen and speak on phone, in meetings, and in one-on-one conversations.
Work Environment
  • Position will work in an office and arena environment mainly indoors and occasionally outdoors in the weather conditions prevalent at the time.
  • The noise level is usually moderate but can be loud during events.
  • The environment is energetic and fast-paced.
  • The work areas can become crowded with equipment and/or people.
