Job Title: Director of Operations

Location: Coral Gables, Florida

Practice Type: Plastic Surgery Practice with Focus on Aesthetic Medicine

Reports to: Partners

Revenue: $10 million (targeting $25 million in 5 years)


Position Overview:

The Director of Operations will be responsible for overseeing the daily operations and strategic growth of a plastic surgery practice specializing in aesthetic medicine. With a current top-line revenue of $10 million, the goal is to grow the practice to $25 million within five years. This position will manage the Marketing Manager, Office Manager, Clinical Manager and surgeons to improve operational efficiency, expand service offerings, and scale the business through strategic initiatives.

Additionally, the Director of Operations will play a critical role in transitioning the practice from a two-physician operation to a four- or five-physician practice, including the successful onboarding of two new plastic surgeons. The Director will also lead the integration of a world-renowned fellowship training program into the practice, further enhancing its reputation and expertise in the field. The role will involve updating the corporate structure, revising key positions and roles, and ensuring competitive and equitable salary structures.

The ideal candidate should have experience in healthcare management, specifically in aesthetic medicine or plastic surgery, with a strong background in leadership, operations, and financial management.


Key Responsibilities:


Operational Leadership:

  • Oversee the daily operations of the practice, managing the Marketing Manager, Office Manager, and Clinical Manager.
  • Develop and implement operational policies and procedures to enhance patient care, staff efficiency, and profitability.
  • Collaborate with clinical and administrative teams to streamline workflows, reduce inefficiencies, and improve the overall patient experience.

Physician Growth & Fellowship Program:

  • Lead the onboarding process for two new plastic surgeons, ensuring a smooth transition as the practice expands from a two-physician to a four- or five-physician operation.
  • Manage recruitment, credentialing, and integration of new physicians into the existing practice structure.
  • Design and implement the integration of a world-renowned fellowship training program, working with academic institutions and other healthcare partners to attract top-tier talent and develop future leaders in the field of plastic surgery.
  • Ensure the fellowship program aligns with the practice’s brand, operational goals, and patient care standards.

Strategic Planning & Business Development:

  • Collaborate with partners to develop mid- and long-term business strategies that focus on sustainable growth, including venture capital opportunities and potential partnerships.
  • Lead the development of strategies to expand the practice’s service offerings into med spa services, hair restoration, and other aesthetic treatments.
  • Create a roadmap for scaling the business while maintaining high standards of care and patient satisfaction.
  • Explore opportunities to sell practice or partner with venture capital or private equity to grow the business and explore new business opportunities

Corporate Structure & Key Position Revisions:

  • Lead the restructuring of the corporate hierarchy as the practice grows, ensuring a scalable and efficient organization.
  • Review and revise key leadership roles, reporting structures, and responsibilities to align with the expanded scope of the practice.
  • Evaluate and update salary structures to ensure market competitiveness, incentivize performance, and foster employee retention across all levels of the organization.

Financial Management:

  • Work with the accounting/bookkeeping consultants to oversee budgeting, financial planning, and cost management.
  • Identify opportunities to reduce operational costs, increase revenue, and improve profitability without compromising quality.
  • Monitor key performance indicators (KPIs) related to financial performance, including revenue, expenses, profitability, and patient volume, specifically as they pertain to surgery coordinators and sales
  • Ensure compliance with all regulatory, legal, and financial requirements in the healthcare industry.

Marketing & Growth Initiatives:

  • Lead the Marketing Manager in conjunction with fractional chief marketing officer, when needed, in developing and executing marketing strategies that attract new patients, retain existing ones, and build the practice’s brand.
  • Ensure marketing efforts are aligned with revenue growth goals, including digital marketing, social media, patient referral programs, and partnerships.
  • Track and analyze marketing performance metrics to ensure ROI and adjust strategies accordingly.

Team Leadership & Development:

  • Foster a collaborative and positive work environment that encourages teamwork, accountability, and professional growth.
  • Provide leadership and guidance to the management team (Marketing Manager, Office Manager, Clinical Manager), ensuring they have the support and resources needed to excel in their roles.
  • Establish clear performance expectations and monitor progress, offering feedback and coaching as needed.

Expansion into Med Spa and Hair Restoration Services:

  • Develop and implement a comprehensive business plan for the med spa and hair restoration service lines.
  • Ensure these new services integrate seamlessly into the current operations and align with the practice’s brand and mission.
  • Build relationships with key vendors and suppliers for med spa and hair restoration equipment, products, and training.

Qualifications:

  • Bachelor’s degree in Business Administration, Healthcare Management, or a related field; MBA or advanced degree is preferred.
  • Minimum of 7-10 years of experience in healthcare operations, with at least 3-5 years in aesthetic medicine or a similar field.
  • Proven experience managing multidisciplinary teams, including clinical and c-level and/or execute level administrative personnel.
  • Strong knowledge of financial management, including budgeting, P&L responsibility, and cost optimization.
  • Experience in business strategy development, especially in scaling operations and business growth.
  • Familiarity with med spa services, hair restoration, and other aesthetic treatments is highly desirable.
  • Experience with physician recruitment and onboarding, as well as setting up fellowship programs, is a plus.
  • Excellent communication, leadership, and organizational skills.
  • Strategic thinker with the ability to execute on both long-term vision and day-to-day operational needs.

  • Financial Expertise: Strong understanding of financial reporting, analysis, budgeting, and cost management in a healthcare setting.
  • Operational Efficiency: Ability to identify bottlenecks and inefficiencies in clinical and administrative processes and implement effective solutions.
  • Collaboration & Communication: Effective communicator capable of working across departments, engaging stakeholders, and driving consensus.
