SCOPE / PURPOSE

The Senior Administrator position will help support the Owner as well as assist with office management duties. This position interacts with Managers, Directors and Owner on a daily basis and will be required to effectively correspond with those in senior positions of business associates, clients, vendors and peers.

 

RESPONSIBILITIES

Responsibilities include, but are not limited to:

· Write / review / edit company correspondence as requested

· Receive and screen phone calls

· Schedule conference calls

· Manage office calendars as requested

· Schedule/coordinate meetings on-site and off-site

· Draft / edit listing agreements

· Prepare hiring packages and assist with employee hiring process

· Maintain HR personnel files

· Prepare Independent Contractor agreements and assist with set up of new Agents

· Online management of DBPR Corporate license and Sales Associate relationships

· Assist with annual performance review packages/reviews

· Assist with Company insurance policies (business package, GL, WC, health, etc.)

· Assist with annual budgeting for parent companies

· Manage credit card accounts – add/delete users, manage credit limits

· Create new business entities (LLC and EIN applications)

· Correspond with banks regarding account set-up

· Assist with Annual Reports

· Plan company events

· Liaison for office phone system

· Liaison for IT Services

· Approve monthly/quarterly corporate invoices

 

SKILLS & EXPERIENCE

• Commercial real estate experience preferred

• Advanced internet research techniques and resourcefulness

• Proficiency with software and technology including Microsoft Word, Excel, PowerPoint, and Outlook

• Ability to prioritize and manage multiple tasks, and meet stringent deadlines while working with changing priorities

• Ability to work with little direct supervision

• Must perform well under pressure

• Eagerness to learn new skills and positive, can-do, solutions-oriented attitude is a must

• Excellent business vocabulary and grammar

• Attention to detail is imperative to ensure accurate deliverables

• Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding

• Florida Real Estate license a plus but not required

· Professional demeanor

· Strong computer skills and proficiency in Excel, Word

· Strong understanding of industry specific terms and processes

· Excellent organizational and multi-tasking skills

· Excellent oral and written communication skills

· Excellent interpersonal skills
