Job Summary:
We are seeking a professional, friendly, and organized Receptionist to join our team. The Receptionist will be the first point of contact for visitors and clients, ensuring they are greeted warmly and assisted efficiently. This role is also responsible for a variety of administrative tasks that support the smooth functioning of the office. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to manage multiple tasks effectively.
Key Responsibilities:
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Receive, sort, and distribute daily mail/deliveries.
- Schedule appointments and maintain calendars for staff.
- Assist in various administrative tasks, such as filing, photocopying, and data entry.
- Handle inquiries and complaints with professionalism and efficiency.
- Coordinate with office staff to ensure client needs are met.
Qualifications:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Customer service attitude and attention to detail.
