Group Sales Coordinator - Full Time Year Round

We are seeking a candidate with a great personality and a genuine passion for the hospitality industry.  The ideal candidate will enjoy people, have great attention to detail, and have a “can do” attitude.  The primary function of the position is to coordinate and detail small Groups while also performing Administrative duties for the Sales Department. The position reports to the Director of Sales but works closely with and takes direction from our Group Sales Managers and Convention Service Managers. The position requires initiative, independent judgement and

discretion.  Great organizational skills are a must.

POSITION RESPONSIBILITIES

   

Group Coordinator

  • Communication with clients to gather needed details about their Event.
  • Creation of BEO’s and Resumes for assigned Groups.
  • Accurate and Timely communication of clients’ needs and changes to Hotel Team. 
  • Manage Wedding Courtesy Block program.
  • Willingness to hold firm on client requests and needs.

  

Office Manager

  • Assist with phone, email and in person Group guest needs.
  • Assist with distribution of incoming Leads and Inquiries.
  • Responsible for mail distribution.
  • Monitor supplies such as forms, computer paper and ink.
  • Prepare and update weekly schedule and Banquet Event Orders for distribution.
  • Assist Sales Staff with correspondence as directed.
  • Receive, log and inventory incoming package deliveries for conferences and hotel staff.
  • Perform basic administrative tasks including scanning, copying, and faxing.
  • Other duties as assigned by management. 

 POSITION REQUIREMENTS

  • Hotel experience strongly preferred.
  • Previous Amadeus experience helpful.    
  • Must be proficient in Microsoft Office Programs.
  • Must be very organized and detail oriented.
  • Must have a high level of communication skills.
  • Minimum of one year of Administrative experience.
  • Must be able to lift up to 15 pounds.
  • Knowledge of Business English, spelling, grammar, and punctuation.
  • Highschool diploma or general education degree (GED), college degree preferred.
