Job Description:

As a Skilled Nursing Facility Admin Assistant/Receptionist, you will play a crucial role in providing administrative support and ensuring smooth operations within the facility. Your primary responsibility will be to greet visitors, handle inquiries, and perform various administrative tasks to support the administrative team and staff.

Purpose of Your Job Position

The primary purpose of your job position is to perform clerical support in an efficient manner in accordance with established procedures, and as directed by your supervisor.

Responsibilities:

  • Reception and Visitor Management: Serve as the first point of contact for visitors, residents, and staff. Greet and direct individuals appropriately, ensuring a warm and professional reception. Answer incoming calls, address inquiries, and provide accurate information or route calls to the appropriate department.
  • Administrative Support: Provide administrative assistance to the administrative team, including the Administrator, Director of Nursing, and other department heads. This may involve tasks such as scheduling appointments, coordinating meetings, preparing documents, and maintaining records.
  • Data Entry and Documentation: Accurately enter and maintain resident information, employee records, and other administrative documentation in accordance with facility policies and regulatory requirements. Ensure confidentiality and proper handling of sensitive information.
  • Correspondence and Communication: Assist in composing, formatting, and distributing various correspondence, memos, and reports. Maintain effective communication channels within the facility, ensuring information is conveyed accurately and in a timely manner.
  • Office Management: Coordinate and manage office supplies, equipment maintenance, and other facility needs. Keep the reception area and office environment organized, tidy, and presentable.
  • Records Management: Assist in maintaining resident files, employee records, and other administrative documents. Ensure proper filing, storage, and retrieval of records in compliance with facility policies and legal requirements.
  • Team Collaboration: Collaborate with other administrative staff and departments to support a cohesive and efficient operational workflow. Foster positive working relationships and contribute to a harmonious work environment.

Requirements:

  • Experience in an administrative assistant or receptionist role. (Preferred)
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficient computer skills, including MS Office (Word, Excel, Outlook).
  • Attention to detail and ability to multitask effectively.
  • Professional demeanor and exceptional customer service skills.
  • Knowledge of healthcare or long-term care industry is (preferred not required).
