Position Information

The California State University, Office of the Chancellor, is seeking a CHRS Project Coordinator to be responsible for project coordination activities, including scheduling internal and external meetings, working with the project and implementation managers to ensure that information is loaded and available on the CHRS websites, including SharePoint sites, Smartsheet, Service Now and other tools as needed. The incumbent will support meeting activities, documenting and delivering meeting minutes and action items. The incumbent will support other projects and perform other duties as assigned.

This position is long-term temporary with benefits.

Responsibilities

Under the general direction of the CHRS Program Director , the CHRS Project Coordinator will:

-Support the development of the overall multiyear project plan, multicampus wave plans and individual campus plans. Understand the CSU organization (Chancellor's Office and 23 campuses) and program management challenges and issues.

-Support the development and implementation of an integrated program and project plans for CHRS.

-Support the development and tracking of program & project deliverables.

-Act as a resource for campus implementation teams to review and understand program and project timelines and deliverables.

-Support program events and communications tools (e.g. All-Hands Meetings, webinars, newsletters, websites, SharePoint sites, etc.).

-Support the production and distribution of content for the CHRS Program including documentation, team status reports and updates, executive status reports, PowerPoint presentations, and CHRS website content.

-Work closely with campus implementation teams to ensure they understand implementation timelines and deliverables and assist wherever possible.

-Coordinate, monitor, and report on program activities.

-Monitor program issues and risks, prepare escalation documentation as required.

-Schedule program meetings and planning sessions.

-Monitor and consolidate team status reports.

-Assist in creation, maintenance and distribution of Program and Executive Status Reports.

-Monitor team/program effectiveness and provide suggestions for improvement and/or take appropriate action.

-Review program documents/deliverables independently or in collaboration with a team to evaluate preparedness for submission.

-Monitor and track stakeholder feedback with the CHRS communication mailbox.

-Assist with the recruitment and onboarding of program staff according to CSU policies.

-Support workshops, meetings or conferences; coordinate logistics, scheduling and participant communications.

-Participate in CHRS Program meetings and workshops.

-Perform other duties as assigned.

Qualifications

This position requires:

-Minimum of four years of project related experience with demonstrated comprehensive knowledge and understanding in supporting multiple projects using various technologies. Demonstrated ability to work with various constituents in a customer service manner.

-This position will be integral in coordinating both tactical project management activities between the campuses and the Chancellor's Office in their implementation efforts as well as mapping out the requirements and impacts on the longer-term support and strategic direction for CHRS.

-Must demonstrate the ability to accomplish objectives in a fast-paced, complex environment with constant multiple competing priorities.

-Ability to demonstrate excellent communication (written and verbal) and presentation skills.

-Ability to demonstrate technical writing skills and ability to work with project managers, analysts and programmers to describe requirements and needs. 

-Must have ability to effectively communicate with all levels of employees e.g., from technical and operational end users to staff and management.

-Demonstrated ability to accomplish work objectives that cover a wide spectrum of requirements.

-Must possess exceptionally detailed and thorough organizational skills; demonstrate excellent organizational and project skills to effectively incorporate feedback from a large variety of campus stakeholder groups; demonstrate the ability to apply logic and critical thinking skills in problem solving resolutions.

-Must demonstrate proficient knowledge of standard office software (Outlook, Word, Excel, Visio and PowerPoint) data analysis and survey tools and possess the ability to quickly adapt to new software applications to support and coordinate meetings and project work.

-Must demonstrate proficiency in Word, Excel, and SharePoint software to manage plans.

-Must demonstrate the ability to effectively prioritize work, escalate issues and accomplish work objectives, data analysis tools and Project Management.
