Yourmissions :
Location: Lenexa, KS
Job Summary and Purpose:
Provide administrative support to SSIU management and staff, such as processing invoices, purchasing, expense reports, submission of permits, meeting planning, and formatting and controlling documents. This position requires a proactive approach, anticipating needs, and independently performing administrative duties.
Responsibilities and Key Duties:
General Administrative Support
·Point of contact for SSIU invoicing Ceva Business
·Work extensively with multiple software systems/databases, including custom databases, purchase orders, invoice management, expense reports, training records, etc.
·Proficiency in computer usage and adeptness in various databases including Excel, Word, Adobe, and LIMS.
·Format and edit documents, such as forms, SOPs, memos, and letters with strong attention to detail.
·Distribute building mail and support shipping, as needed.
·Responsible for equipment management, communication and managing third party services.
·Manage ordering, requesting quotes, communicating with purchasing dept. and vendors, tracking shipments and arrivals.
·Maintain and distribute SSIU telephone list, seating chart, emergency headcount list, email, and calendar groups.
Meeting and Event Management
·Coordinate meetings and events.
·Facilitate meetings; including but not limited to furniture configuration of room, prepare agenda, coordinate presentations, start video conferences, coordinate snacks/drinks and/or meals and/or other items.
·Prepare and distribute meeting minutes, as requested.
Communication Support/Organization/Training
·Manage SSIU’s physical and electronic document archive, including controlled access, inventory, and organization.
·Provide training and technical assistance on relevant systems, including but not limited to Microsoft Office Suite, Quick Base, etc.
·Assist with on-boarding process of new hires, including relevant training, facilitating access to folders, Smartsheets, documents and update on-boarding folders as needed

Technical / Functional Competencies:
·Advanced experience with MS Office Suite (Word-formatting, Excel-pivot tables/charts and PowerPoint)
·Experience with Adobe Professional
·Ability to work well with large and diverse teams
·Solid organizational and multi-tasking skills
·Ability to work under pressure
·Strong attention to detail and capable to deliver quality work with minimal supervision
Qualifications:
Education – Associates or Bachelor's degree, preferred
Work Experience - Minimum three (3) years experience in general office responsibilities and procedures.
Physical Requirements:
·Ability to read, write legibly and communicate in English
