We are seeking an Administrative Assistant to join our team You will perform clerical and administrative functions in order to support people and functions within the company.

Responsibilities:

  • Assist with all aspects of administrative management.
  • Managing office communications in a pleasant and courteous manner—fielding organizational phone calls, emails, and traditional mail.
  • Process customer orders & manage order exceptions: prices, back orders, credit holds.
  • Post invoices for customer orders shipped and email customers.
  • Record customer payments and process credit card transactions.
  • Scanning and filing company records in the office filing system.
  • Tracking and restocking supplies in common areas.
  • Keeping shared office spaces organized.
  • Providing as-needed support to directors, managers, and executives.
  • Performs other duties as assigned.

Knowledge and Skills:

  • Ability to problem solve and maintain good attention to detail.
  • Have a strong sense of urgency to complete projects in a timely manner and to manage multiple projects simultaneously.    
  • Ability to work effectively with other departments to achieve overall company goals.
  • Recognize and respond to potential problems.
  • Maintain composure when things go wrong.
  • Effectively and respectfully communicate with internal & external stakeholders in a variety of different formats.
  • Multitask and quickly shift tasks to complete a variety of duties without letting anything fall through the cracks.
  • Work quickly, but accurately.
  • Remember key details as multiple people make verbal, hand-written, and emailed requests throughout the day.
  • Adapt to changing demands and responsibilities.

Qualifications:

  • Previous experience in office administration or other related fields
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills
  • Good computer skills
