Position Summary:

This position is responsible for maintaining investor/equity database. Formats and processes investor statements. Formats and posts internal reporting. Processes other investor financial notifications.

Duties & Responsibilities:
Maintains Allvue Database 

Maintains contact names and addressesUpdates investor wiring instructionsUpdates and maintains other fields as needed

Statement Preparation

Prints and processes PMS Statements posting to portal or mailing as neededPosts PMS Statements to internal folders

Investor Deliverables

Prepares and processes investor capital call and distribution noticesPrepares and processes monthly new investor acceptance noticesPrints and processes annual investor Form K-1Prints and processes annual PMS tax estimatesPrints and processes annual PMS audited financials

Internal Deliverables

Maintains and formats internal deliverable reportsPosts to Oxford intranet

Database Reporting

Prepares with appropriate formatting PMS reporting (both internal and externalUpdates and posts internal reporting to public folders

Tax and Audit

Maintains tracking of tax reporting documents receivedMaintains tracking of audit reporting documents receivedFollows up on outstanding items as neededCoordinates with Account Specialist on other tax and audit needsSubmits tax returns to appropriate taxing agencyTracks tax return processing

Private Market Services Administrative

Schedules meetings and calls with outside counsel as part of entity formation processSets up and maintains financial filesArchives financial files annually

Salesforce Request

Reviews and approves subscription requestsUpdates Allvue tracking for subscription request activity

Document Handling

Downloads and saves investor subscription documentsReviews documents for completion and logs as needed 

Performs other duties as assigned

Qualifications:

Associate degree or equivalentExcellent computer skills with experience in Microsoft Word, Excel and Outlook requiredExperience with DocuSign and Smartsheet’s a plus but not requiredAttention to detail and strong organizational skills requiredMust have a professional demeanor with the utmost respect for confidential mattersMust be able to work independently and in a team environmentMust be detail oriented with excellent organizational skillsMust have ability to multi taskMust have ability to work in a high stress, fast paced environmentMust have strong work ethic with a positive attitude

Working Conditions:

No travel requiredLong periods of sitting and utilizing a computerSchedule must be flexible to work overtime to accomplish business objectives
