POSITION DESCRIPTION
Position Title: Sales Manager for Weddings and Social Events
Reports To: Reports to General Manager
Department: Sales/Marketing Date: March 2023
Position Summary:
Responsible booking and execution of all Weddings and Social Event functions.
Maximize revenue in rooms, public space, food and beverage. Follow all appropriate policies and procedures while constantly striving to improve all quality of operation for the events.
To be successful at this position, one should be adaptable to handling difficult and stressful situations.
Ultimately, one should keep abreast of the latest wedding trends as well as demonstrate exceptional communication, organization and customer service skills.
Supervision Received:
Supervision is received from the General Manager
Essential Functions:
Responsible booking and execution of all Weddings and other social Events.
*Responding all inquiries on a timely manner.
*Prepare proposals and contracts according to company guidelines.
*Conducting initial consultation with clients to discuss wedding packages available, the type of
wedding desired and their budget.
*Conferring with clients to discuss details, including venue options, as well entertainment, catering and decoration preferences.
*Schedule meetings for food tasting.
*Prepare BEOs for the events
*Coordinate room blocks with the Front Desk Manager.
*Ensure all departments of the hotel receive the information accurately on a timely manner.
*Monitor all day the event activities, coordinate outside vendors making sure all set up and service requirements are met.
*Make sure all deposits and payments are collected.
- Attends the BEO/ Banquet meetings to ensure all relevant departments are familiar with the requisitions on the BEO’s – clarifies where necessary.
- Ensures operating results are achieved in these catering events; coordinates, oversees and adjusts where necessary, the operating activities of the service staff assigned to the catering events in the hotel.
This includes preparation, set up and the service during the event. - Maintains communications with all departments on issues related to the banquet functions, such as Kitchen, Front Office, Housekeeping and Maintenance.
- Remains in constant contact of the organizers during their time in the hotel to ensure all their requirements are properly attended to.
- Verifies and approves the final invoice to guests at the end of the event.
Ensures payment is due and received at the appropriate time. - Coordinates closely with other sales staff, the optimum booking of function space, services and products to achieve maximum revenue possible.
- Analyzes sales & catering statistics and trends to propose strategies to promoting corporate and social events at the hotel.
- Participates in ensuring that the financial results of the Sales/Marketing department are achieved as per estimates and budgeted activities for one’s section.
- Performs all necessary administrative functions for the business related to one’s business.
- Maintains all files and tracing systems with proper follow up related to all events under one’s responsibility.
- Complies with and implements within the department all policies and procedures set forth by the Columbia Gorge Hotel & Spa Employee Handbook and the sales department.
- Maintains and builds positive relationships within the property, community and industry.
- Represents, when assigned, the hotel at trade association meetings to promote its products.
- Participates when appropriate, community organizations which enhance the promotion and sales effort of the hotel.
- Conducts personal behavior in a mature, professional and business manner when representing the hotel.
Secondary Functions:
- Performs all other duties as assigned by the General Manager conform within the spirit and responsibilities of social sales.
Qualifications:
Position requires a minimum of 2 years of hotel experience and a high school diploma. A college degree preferred. Other requirements include:
- Knowledge of restaurant and hotel operations
- Knowledge of banquet facilities including room sets, audio/visual equipment, room capacities, etc.
- Knowledge of Revenue Management
- Working knowledge of Windows, Word and Excel
- Ability to produce a valid driver’s license
- Ability to pay attention to details in correspondence, reports and daily organization
- Ability to travel as required for sales trips to feeder cities
- Ability to work with a minimum of supervision
- Ability to always maintain a professional appearance
- Ability to work as part of a team
- Ability to communicate effectively
- Ability to read and follow both verbal and written instructions
- Ability to work well under pressure
