Position Summary:  

The Executive Assistant provides comprehensive administrative support, enabling Executives to focus on critical business matters. They optimize efficiency by proactively managing schedules, anticipating needs, resolving conflicts, prioritizing tasks, and effectively project managing strategic initiatives on behalf of the Executive.

 

Position Responsibilities may include, but not limited to: 

Provide comprehensive administrative support, including coordinating travel, managing expenses, overseeing office management, and handling tasks that don't require the Executive's direct input

Proactively anticipate issues and take preventive measures, such as adjusting travel arrangements or resolving scheduling conflicts, without explicit direction

Strategically manage the Executive’s schedule, balancing professional and personal responsibilities, safeguarding time, and prioritizing and streamlining tasks, whenever possible

Coordinate and manage end-to-end logistics for events and meetings hosted or attended by the Executive, handling details such as catering, AV setup, visitor badges, creating the agenda, etc.

Prepare the Executive for meetings by gathering and summarizing background information into briefing materials. Prepare presentations, reports, and correspondence, with pertinent information

Oversee strategic initiatives on behalf of the Executive, coordinating timelines, following up on deliverables, tracking progress, and producing basic presentations

Exercise independent judgment and make appropriate decisions without close supervision

Serve as the Executive’s representative in meetings, reporting back, as needed

Draft communications on the Executive 's behalf, as appropriate. Identify and bring crucial issues to the Executive's attention

Other projects or duties as assigned

Qualifications:
Required Skills and Experience: 

Associate degree and 7+ years of Executive Assistant experience or High School Diploma/GED and 10+ years of Executive Assistant experience in lieu of an Associate degree

Previous supervisory experience

Must demonstrate a high level of confidentiality; integrity is paramount

Must display an extremely professional and calm demeanor at all times

Ability to be self-directed and work independently but also work well with others at all levels

Must possess strong organizational and multi-tasking skills; must have ability to prioritize appropriately

Excellent verbal and written communication skills

Advanced proficiency in Microsoft Office, especially in PowerPoint, Word & Excel

Ability to travel on rare occasions, likely once annually

This position must pass a post-offer background and drug test

Preferred Skills and Experience: 

Bachelor’s Degree
