Job Overview

The Accounts Payable Specialist will support the finance team of a private investment company with multiple portfolios. This role is responsible for processing and reconciling accounts payable transactions, ensuring accurate and timely payments to vendors, service providers, and portfolio-related entities. The ideal candidate demonstrates precision, confidentiality, and the ability to manage complex and high-volume financial transactions.

Duties & Responsibilities

  • Process and code weekly payments, invoices, vendor bills, and expense reimbursements accurately and in accordance with AP automation tools.
  • Prepare and execute payments via ACH, wire, and check, ensuring timely vendor settlements.
  • Prepare monthly billings for affiliated entities for shared service fees.
  • Maintain strong relationships with vendors and respond timely to inquiries.
  • Reconcile accounts payable transactions and maintain accurate general ledger entries.
  • Coordinate with internal stakeholders and portfolio teams to validate charges and resolve discrepancies.
  • Maintain vendor records and respond to vendor inquiries professionally and promptly.
  • Assist with month-end and year-end closing processes, including accruals, reconciliations, and reporting.
  • Support audits and maintain documentation for internal and external compliance.
  • Identify and implement process improvements to enhance efficiency and internal controls in AP operations.
  • Other duties as assigned.

Qualifications

  • Associate's degree in Accounting, Finance, or related field required; Bachelor's preferred.
  • Minimum of 3–5 years of accounts payable experience; experience in investment management or multi-entity financial operations is highly desirable.
  • Proficiency with accounting and ERP systems; experience with NetSuite, DocuPeak, Concur, and other investment-related accounting software is a plus.
  • Strong understanding of accounts payable processes, internal controls, and financial reporting.
  • High level of attention to detail, organization, and confidentiality.
  • Strong communication skills and the ability to work with multiple stakeholders across portfolios.

Working Conditions

  • Office-based role in Dallas, TX.
  • Standard business hours: occasional extended hours may be required during month-end close.
  • Minimum travel required.
