Position Summary
The Project Manager is responsible for overseeing the full lifecycle of large-scale fitness equipment projects — from purchase order through delivery, installation, and close-out. This role ensures that all project elements—supplier lead times, warehouse consolidation, installation scheduling, and customer communications—are coordinated to meet project timelines, budget, and quality standards.
Key Responsibilities
- Project Coordination: Manage multiple complex projects simultaneously, ensuring all equipment from 10+ suppliers arrives on schedule and in the correct sequence.
- Scheduling & Logistics: Develop and maintain detailed project timelines, factoring in supplier lead times, freight coordination, warehouse staging, and install crew availability.
- Communication: Serve as the central point of contact among sales reps, customers, suppliers, warehouse, and installation teams.
- Procurement Support: Work with purchasing and admin teams to verify orders, track production, and monitor shipment status.
- Warehouse Coordination: Ensure products are consolidated, inspected, and prepared for delivery and assembly according to project needs.
- Installation Oversight: Coordinate with install teams to ensure readiness of site, delivery timing, and completion verification.
- Problem Solving: Anticipate and mitigate potential delays, shipment discrepancies, or installation issues through proactive planning and communication.
- Documentation: Maintain accurate project files, including supplier correspondence, delivery notes, installation photos, and customer approvals.
- Financial Awareness: Support invoice and payment timing by tracking supplier due dates, delivery milestones, and customer billing schedules.
Qualifications
- Experience: 3–5+ years of project management experience in construction, logistics, commercial equipment, or related industries.
- Skills:
- Strong organizational and time-management skills with the ability to manage multiple complex timelines.
- Excellent communication and interpersonal skills across departments and customer levels.
- Proficient with project management and tracking tools (Excel, QuickBooks Enterprise, Smartsheet, or equivalent).
- Working knowledge of purchasing, logistics, freight coordination, and installation processes.
- Ability to read and interpret floor plans and equipment layouts (preferred).
- Education: Bachelor's degree in business, operations, supply chain, or related field preferred; equivalent experience accepted.
- Other Requirements:
- Willingness to travel occasionally to job sites within our operating region.
- Ability to lift or assist with equipment staging when necessary (light-duty).
