Job Summary
We are seeking a skilled Project Manager in our Software Solutions division who is responsible for the successful organization and execution of meetings and conferences, ranging in size from 200 to 10,000 attendees, utilizing our event software solutions. This role encompasses several key areas, including project management, registration, speaker management, exhibits, virtual platform and mobile app, resource management, customer service/relationship building, training, logistics, and administrative duties. Position requires significant travel (approximately 40%).
Duties
Event Logistics
- Provide full life-cycle management of client meetings and conferences, varying in size and complexity. This includes overseeing project timelines and deliverables, registration, speaker coordination, exhibits, virtual platforms and mobile applications, financial aspects, travel and housing logistics, security, venue space utilization, staffing, on-site execution, and post-event analysis.
- Build and track milestones/project plans that support event objectives.
- Create and manage detailed budgets for all assigned events.
- Travel to site checks, planning meetings, and client conferences, as well as other company conferences to provide team support.
Client/Project Management
- Proactively cultivate and sustain positive, professional client relationships through clear, precise, and timely communication. Anticipate client needs and consistently exceed expectations, requirements, and requests.
- Ensure client requirements are met through regular and comprehensive follow-up. Effectively communicate client needs and expectations to relevant internal staff and vendors throughout the project lifecycle.
- Collaborate closely with eventPower staff to define project goals and objectives, facilitate resource allocation, and establish project timelines and deliverable deadlines.
- Promptly communicate any operational or client problems to management.
- Provide support to various eventPower teams, including registration, creative services, AV, exhibit sales, IT, and speaker management, to ensure successful conference execution.
Administrative Duties
- Maintain project files for all assigned meetings/conferences, making sure they are kept organized and current with all information.
- Coordinate and schedule internal and external meetings.
- Process invoices, expense reports, and other financial documents related to the project.
- Assist with onboarding new team members by preparing necessary documentation and providing initial guidance.
- Perform other duties as assigned by the leadership team.

- Experience managing mid to large-scale conferences.
- Experience managing multiple conferences at one time.
- Desire to contribute to the success and growth of the organization.
- 3 or more years of experience in conference management.
- Bachelor's Degree from an accredited four-year college or university.
- Relevant certifications in project management (e.g., CMP, CGMP) are preferred but not required.
