As a Legal Assistant, you are the right hand of the paralegal and the bridge between legal production and client support. Your job is to make sure no document is missing, no deadline is forgotten, and no client feels ignored.

Compensation:

$19 - $22 hourly

Responsibilities:

  • Accept other administrative tasks as needed to assist the team and ensure the firm runs smoothly

Client Support & Communication

  • Contact clients in Spanish to collect evidence and information
  • Draft or revise forms, affidavits, declarations, and personal statements
  • Confirm appointment attendance and document submission
  • Provide tech support to clients navigating online portals or forms

Form Preparation & Case Assembly

  • Fill out USCIS forms (I-130, I-765, I-485, I-589, I-131, etc.) under supervision
  • Assemble digital and physical packets with exhibits, TOCs, and tab separators
  • Print, scan, mail, label, and ship filings as needed
  • Track and log filing status, tracking numbers, and deadlines
  • Pick up, sort, scan, and file office mail, as needed.

Evidence & File Quality

  • Review client-submitted evidence for relevance, quality, and admissibility
  • Follow up with clients for clearer or additional documents when needed
  • Help clean up messy client folders in CMS, Google Drive, or older databases
  • Conduct regular file audits with the paralegal to ensure folders are complete and up to firm standards

Case Management & Docketwise

  • Enter and update client information in the law firm's case management software
  • Assign tasks and workflows based on case progress
  • Upload documents, create notes, and maintain case cleanliness
  • Double-check upcoming deadlines and update calendars as directed

Internal Communication

  • Coordinate closely with the Client Experience team to relay missing documents or action items
  • Attend weekly legal meetings and take notes as needed
  • Report client-side delays or incomplete files to the supervising paralegal

Qualifications:

  • Some knowledge of legal software, case management, and docketing programs
  • Candidates should be able to type at least 50 words per minute
  • Candidates should have strong organizational skills and communication skills
  • At least 1-2 years of previous experience in a law firm setting performing administrative tasks
  • Ability to comfortably use all Microsoft Office products
  • Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times
