Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our grants financed project. This role is essential in maintaining the smooth operation of grants and contracts through meticulous record-keeping, effective communication, and diligent compliance with institutional and federal guidelines. The ideal candidate will possess strong administrative skills and a knack for problem-solving, ensuring that all aspects of grant administration are handled efficiently.
Responsibilities:
Provide administrative support to the team, addressing any concerns related to institutional administrative processes.
Make and monitor requisitions, compiling, updating, and ensuring the accuracy of files and accounts related to grants and contracts, adhering to institutional and federal policies.
Conduct daily debarment verifications on vendors and contracts to maintain compliance.
Verify accuracy in reports and budget, including receipts and travel documentation.
Monitor and manage invoices related to grants and contracts to ensure timely processing of payments and compliance.
Participate in both in-person and virtual meetings with the project members, investigators, and institutional partners.
Assist in other related duties as requested by the Project Director, contributing to the overall effectiveness of the team.
Knowledge and Skills:
Exceptional written and oral communication skills in both Spanish and English.
Excellent problem-solving abilities and attention to detail.
Strong organizational skills with the ability to multitask and prioritize tasks efficiently.
Self-motivated with the ability to operate under minimal supervision.
Proficient in business applications including word processing, spreadsheets, and presentations.
Strong interpersonal skills with a collaborative spirit.
Requirements:
Minimum of two years' experience as an Administrative Assistant, preferably in a grants management or similar role.
Bachelor degree preferred, or an equivalent combination of education and experience.
Fully bilingual (Spanish and English) to effectively communicate and manage documentation in both languages.
Working Conditions:
- This position operates in a professional office environment and routinely uses standard office equipment.
Job Types: Full-time, Contract
Pay: Up to $30,000.00 per year
