Job Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant to support our grants financed project. This role is essential in maintaining the smooth operation of grants and contracts through meticulous record-keeping, effective communication, and diligent compliance with institutional and federal guidelines. The ideal candidate will possess strong administrative skills and a knack for problem-solving, ensuring that all aspects of grant administration are handled efficiently.

Responsibilities:

  • Provide administrative support to the team, addressing any concerns related to institutional administrative processes.

  • Make and monitor requisitions, compiling, updating, and ensuring the accuracy of files and accounts related to grants and contracts, adhering to institutional and federal policies.

  • Conduct daily debarment verifications on vendors and contracts to maintain compliance.

  • Verify accuracy in reports and budget, including receipts and travel documentation.

  • Monitor and manage invoices related to grants and contracts to ensure timely processing of payments and compliance.

  • Participate in both in-person and virtual meetings with the project members, investigators, and institutional partners.

  • Assist in other related duties as requested by the Project Director, contributing to the overall effectiveness of the team.

Knowledge and Skills:

  • Exceptional written and oral communication skills in both Spanish and English.

  • Excellent problem-solving abilities and attention to detail.

  • Strong organizational skills with the ability to multitask and prioritize tasks efficiently.

  • Self-motivated with the ability to operate under minimal supervision.

  • Proficient in business applications including word processing, spreadsheets, and presentations.

  • Strong interpersonal skills with a collaborative spirit.

Requirements:

  • Minimum of two years' experience as an Administrative Assistant, preferably in a grants management or similar role.

  • Bachelor degree preferred, or an equivalent combination of education and experience.

  • Fully bilingual (Spanish and English) to effectively communicate and manage documentation in both languages.

Working Conditions:

  • This position operates in a professional office environment and routinely uses standard office equipment.

Job Types: Full-time, Contract

Pay: Up to $30,000.00 per year
