Executive Assistant to the CEO

We're looking for a proactive and organized Executive Assistant to the CEO who thrives on keeping things running smoothly behind the scenes. The Executive Assistant to the CEO plays a key role in keeping the office and the CEO's priorities running smoothly. You will provide high-level administrative and strategic support, managing schedules, communications, and projects to ensure the CEO can focus on driving the business forward.
This role is ideal for a proactive, detail-oriented professional who can anticipate needs, prioritize effectively, and maintain discretion. You'll work closely with the CEO and the broader team, helping the organization operate efficiently while upholding the highest standards of professionalism.

Job Duties/Responsibilities:
- Manage the CEO's daily schedule, meetings, and travel arrangements, prioritizing strategically.
- Draft and prepare correspondence, reports, agendas, and meeting materials.
- Coordinate meetings, attend as needed, take notes, and manage follow-up items.
- Handle confidential communications and act as a liaison between the CEO, internal teams, and external partners.
- Maintain organized records, digital files, and project documentation.
- Track company initiatives, deadlines, and CEO to-do lists for timely completion.
- Prepare expense reports, reimbursements, and receipts promptly.
- Assist with occasional personal and event-related tasks.
- Perform other related duties and ad-hoc projects as assigned.

Qualifications & Education Requirements
- 3–5 years' experience supporting C-level executives (required)
- Associate's degree in Business Administration or related field (required)
- Strong proficiency in Google Workspace and Slack (required)
- Bilingual – English/Spanish (preferred)
- Exceptional communication, time management, and organizational skills
Professional demeanor, discretion, and a high sense of integrity
Job Type: Full-time
Pay: $50, $60,000.00 per year
