Overview
We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our office.
The ideal candidate will serve as the central point of coordination for logistics, purchasing, facility upkeep, and administrative support. This role is ideal for someone highly organized, resourceful, and dependable—someone who takes ownership and anticipates needs before they arise. If you enjoy keeping things running like a well-oiled machine, this position is for you. This role combines administrative coordination with hands-on operational support to ensure our facility runs smoothly every day.
Duties
Logistics & Administration
- Coordinate inbound and outbound freight by obtaining trucking quotes and scheduling pickups/deliveries.
- Prepare and manage shipping documentation including Bills of Lading (BOLs), delivery notes, and pictures.
- Receive, sort, and distribute mail and packages.
- Maintain organized digital and physical filing systems.
Procurement & Inventory Management
- Order and maintain manufacturing supplies such as pallets, wood, cardboard, straps, stretch wrap, tools, etc.
- Manage recurring purchases from vendors like Uline, Home Depot, Amazon, etc.
- Track and restock essentials including AC filters, light bulbs, toiletries, and cleaning materials.
- Maintain inventory checklists and ensure stock accuracy.
Facility Coordination
- Schedule and coordinate cleaning services, pest control visits, and routine maintenance.
- Oversee housekeeping and maintenance checklists to ensure the facility remains clean, safe, and functional.
Skills
- Previous experience in office administration, logistics coordination, or warehouse operations.
- Strong organizational and multitasking skills.
- Proficient with email, Excel, and basic document management.
- Comfortable communicating with vendors, delivery drivers, and internal teams.
- Reliable, hands-on, and able to follow instructions.
- Ability to manage calendars effectively for multiple team members.
Job Type: Full-time
Pay: $ $25.00 per hour
