Staff Management:
Recruit, train, and supervise dental office staff, including receptionists, dental assistants, and hygienists.
- Manage staff schedules, ensuring adequate coverage during business hours.
- Conduct staff performance evaluations and provide feedback.
- Resolve any interpersonal conflicts or staffing issues.
Implement ongoing staff training and development programs.
Patient Care and Experience:
Ensure patients receive exceptional customer service, from appointment scheduling to treatment follow-up.
- Manage patient complaints or issues, addressing them professionally and promptly.
- Coordinate patient education initiatives and ensure patients understand their treatment plans.
Facilitate smooth communication between patients and dentists.
Financial Management:
Oversee billing and collections, including insurance claims, patient payments, and account reconciliations.
- Work with insurance companies to ensure accurate claim submissions and resolve any discrepancies.
- Monitor the office's budget and financial performance, including managing expenses.
- Set financial goals and track performance against these goals.
Negotiate with suppliers and service providers to secure the best pricing for dental supplies and services.
Marketing and Business Development:
Develop and implement marketing strategies to attract new patients and retain existing ones.
- Manage the office's social media presence and digital marketing efforts.
- Track patient satisfaction and solicit feedback to improve the practice.
Collaborate with the dentist and other stakeholders to grow the practice.
Compliance and Regulatory Duties:
Ensure compliance with all local, state, and federal regulations regarding dental practice.
- Maintain records of dental licenses, insurance, and certifications for all dental staff.
- Ensure proper sterilization and infection control protocols are followed.
Implement HIPAA-compliant processes to protect patient privacy and data.
Inventory Management:
Track and manage dental supplies inventory, ensuring necessary items are always in stock.
- Work with vendors to order dental supplies and manage stock levels efficiently.
Ensure the office is stocked with PPE (personal protective equipment) and other necessary safety gear.
Communication and Reporting:
Act as the primary point of contact between the dental team, patients, and other stakeholders.
- Provide regular reports to the dentist or practice owner on the office's financial health, operational efficiency, and patient satisfaction.
- Facilitate meetings with staff to discuss performance, goals, and improvements.
