We are looking for a Manager, Office Services, to join our Office services team in Vancouver. The Office Services team is responsible for overseeing the day-to-day operations of the CC&L office. The Office Manager is responsible and accountable for the daily activities of office staff to ensure efficient operations, service delivery and expense control. The Manager, Office Services will have overall responsibility of the Offices which includes ensuring the Office Coordinators are up to date on all organization policies, procedures, programs and workplace services.
What you'll be doing
- Manage the day-to-day operations of the offices
- Supervise, coordinate, and provide support and leadership to receptionists and office coordinators
- Liaise with property management on all office building related manners, review vendor agreements, facility contracts and maintain good relations with various office vendors
- Manage office expansions, renovations and office moves as required.
- Support Reception as needed in providing concierge services to visitors, clients and partners
- Prepare budgets, financial reports (monthly and quarterly) and contracts related to the offices
- Lead the management and coordination of corporate cell phones
- Adherence to and implementation of health and safety policies and programs
- Addressing issues and/or conflicts in a professional manner while maintaining open and timely communication
- Assist the Social Committee in planning and executing office social events
- Plan and coordinate company offsite events and holiday parties
- General administrative duties as required
- At least 5+ years of office management experience, ideally in a professional services environment
- Demonstrated proficiency with MS Office (MS Teams, MS Word, MS Excel and MS Outlook)
- Proven team leadership skills and hold a strong track record of customer service
- Ability to prioritize and handle multiple requests with exceptional attention to detail in a fast-paced environment.
- Exceptional verbal and written communications skills with the ability to communicate with all levels of the organization, including third parties.
- Ability to navigate ambiguity in a rapidly changing environment and make clear timely decisions which are in the best interests of the organization. .
- Demonstrated ability to work efficiently under pressure; dealing with changes and interruptions while maintaining strict deadlines
- Demonstrated ability to learn new systems quickly and use them effectively and efficiently
