This is a full-time, onsite role based in our Brickell office, located in downtown Miami.

We are looking for a dynamic and highly organized Office Manager to play a pivotal role in shaping the culture and operations at our Boats Group Global headquarters. The Office Manager will bring energy, enthusiasm, and a passion for creating an organized and welcoming work environment.

What You’ll Do:

  • Office Operations & Preparedness:
    • Maintain a comprehensive inventory of office supplies, including those for restrooms, copy rooms, and kitchens. Source and manage suppliers to ensure cost-efficiency.
    • Ensure the kitchen is fully stocked and operational daily.
  • Office Administration:
    • Manage incoming physical mail, sort, and file as necessary. Handle outgoing mail, packages, and shipments.
    • Coordinate with building management to provide access for new hires and ensure the deactivation of building and parking cards for departing employees.
    • Oversee daily parking validation and the overall cleanliness and upkeep of the office space. Collaborate with cleaning staff to maintain a welcoming environment.
  • Event Planning & Coordination:
    • Organize and execute office events, including group meetings, team-building activities, and offsite events. Manage logistics such as catering, room setup, and agendas to ensure smooth operations.  
  • Employee Wellness & Culture:
    • Partner with the HR team to plan, coordinate, and execute employee activities, wellness programs, and company outings.
    • Serve as an ambassador for company culture and foster continuous improvement. Lead and manage our volunteer program, supporting both individual employee initiatives and group/community activities.
  • Vendor & Facilities Management:
    • Establish and maintain relationships with key vendors, ensuring the best possible service and value for the company.
    • Act as the primary liaison with building management, handling any issues or escalations as needed.  
  • Expense Management & Travel Support:
    • Assist the Executive team with expense management through Concur as needed.
    • Coordinate travel arrangements for staff and leadership when required.
  • Large-Scale Projects:
    • Oversee large-scale space-related projects, collaborating with construction teams, general contractors, furniture vendors, and building management to ensure timely, well-executed project completion.

 

What You Should Have

  • 5+ years of progressive experience in office management or administration.
  • Ability to work on-site daily at our Brickell office (typically 8 AM – 5 PM, with some flexibility for special events or projects).
  • A proactive approach to facility management, with a strong ability to autonomously create and manage maintenance checklists (daily, weekly, and monthly).
  • Must be fluent in English and Spanish
  • Prior experience working with general contractors on office or space-related projects.
  • Demonstrated ability to work with building/property management organizations to ensure efficient operations.
  • Excellent organizational skills and a keen eye for detail.
  • Demonstrated understanding of expense reimbursement practices and vendor relationship-building.  
  • Business-oriented problem-solving skills, with the ability to adapt in a fast-paced, dynamic environment.
  • Practical, business-oriented approach to problem-solving and the ability to thrive in a fast-paced environment.
  • Excellent communication skills - written and verbal.
  • High level of discretion and experience handling confidential information.
  • A willingness to support and manage special projects as needed.
