Shift: Monday – Friday, Onsite

Location: NW Washington, DC

Duration: 6 month, contract-to-hire

 

One of Insight Global's clients is looking to hire for a Property Administrator at one of their commercial properties in NW Washington DC. This position will be fully onsite, Monday-Friday from 8:30AM - 5PM. It is in support of a 360,000 square foot building with ample event space - due to the amount of amenity space, this building often hosts several events throughout the year. Part of this role will be working with vendors, tenants and building maintenance to ensure that events are set up properly without issue. Additional responsibilities include assisting in lease administration, preparing service contracts, coding invoices, monitoring work order systems and general support of the property management team onsite.

Must Have:

  • 2+ years of administrative experience, in person office experience required
  • 1+ years of hospitality / customer service based experience
  • 1+ years of event coordination
  • Knowledge of MS Office and general computer savviness (will be picking up a lot of new softwares off the bat)
  • High sense of professionalism with strong customer service and communication skills
  • Comfortable with being fully onsite, able to pass background check
  • High School Diploma

Plusses:

  • Property management/tenant coordination experience in the commercial real estate industry or multi-family/large residential properties
  • Knowledge of AP/invoicing process
  • Knowledge of Yardi/MRI
  • Knowledge of work order software (Building Engines, Angus, Maximo, etc.)

Responsibilities:

  • Provide full administrative support, including phone support, typing reports, filing and distribution of correspondence
  • Assist in lease administration activities, including tenant contracts and insurance information
  • Prepare and coordinate bid proposals, service contracts and approved invoices. Assist in bidding process and assist Property Manager(s) in their efforts to ensure compliance with C&W’s policies and procedures
  • Prepare and code invoices for Property Manager’s approval
  • Ensure office is stocked with office supplies and other required items to maintain the office
  • Ensure prompt and accurate completion of contract and certificates of insurance information in contract administration software
  • Monitor and maintain the property maintenance work order system and prepare monthly reports for Property Manager on status of tenant work orders
  • Maintain the property purchase order system
  • Maintain lease and contract files, as well as other files located within the property management office
  • Promote and foster positive relationships with tenants and clients and track service calls as required
  • Assist with monthly and quarterly management reports as well as annual budget preparation
  • Process management and maintenance staff hours, tenant bill back invoices through accounting, expense reports, monthly meter readings of properties, and check requests for review and approval
