Overview:

As a Commercial Property Management Coordinator, you will play a vital role in supporting the Property Management team by providing a blend of administrative assistance and financial oversight.

Essential Qualifications:

  • Minimum of 2 years of administrative experience, with a focus on in-person office settings
  • At least 1 year of experience in hospitality or customer service
  • 1 year of experience in event planning or coordination
  • Proficient in MS Office and adaptable to new software
  • Demonstrated professionalism with excellent customer service and communication abilities
  • Willingness to work onsite and pass a background screening
  • High School Diploma or equivalent

Preferred Qualifications:

  • Experience in property management or tenant relations within commercial real estate or large residential properties
  • Familiarity with accounts payable and invoicing processes
  • Knowledge of property management software such as Yardi or MRI
  • Experience with work order management systems (e.g., Building Engines, Angus, Maximo)

Key Responsibilities:

  • Provide comprehensive administrative support, including managing phone communications, drafting reports, and organizing correspondence
  • Assist with lease administration tasks, including managing tenant contracts and insurance documentation
  • Prepare and coordinate bid proposals, service agreements, and approved invoices, supporting the Property Manager in ensuring compliance with company policies
  • Process and code invoices for approval by the Property Manager
  • Maintain an adequate supply of office materials and other necessary items
  • Ensure timely and accurate completion of contracts and certificates of insurance using contract management software
  • Oversee the property maintenance work order system and generate monthly reports for the Property Manager regarding tenant requests
  • Manage the property purchase order system
  • Organize lease and contract files, along with other documentation within the property management office
  • Foster positive relationships with tenants and clients, tracking service requests as needed
  • Assist in the preparation of monthly and quarterly management reports, as well as annual budget planning
  • Handle management and maintenance staff hours, tenant billing invoices, expense reports, and other financial documentation for review and approval
