We are looking for a competent Office Manager who can oversee administrative tasks and back up accounting for a company in Honolulu. This role includes managing general office procedures to ensure processes and duties in the office flow efficiently and assisting with Accounts Payable (AP) and Accounts Receivable (AR) duties as a backup. Responsibilities:

  1. Oversee and support all administrative duties in the office and ensure the office is operating smoothly.
  2. Manage office supplies inventory and place orders as necessary.
  3. Perform receptionist duties such as greeting visitors, handling incoming calls, and managing correspondence.
  4. Maintain an organized and accessible file system for administrative, financial, and legal documents.
  5. Handle employee records, organize, and update databases, ensuring that the company’s systems are kept current.
  6. Act as a supporting role for the company’s financial team.
  7. Perform backup AP and AR duties including managing billing, tracking invoices, handling overdue payments, and assisting in preparing budget reports.
  8. Work closely with accounting team to create and analyze financial reports.
  9. Assist in the preparation of regularly scheduled reports and ad hoc reporting as needed.

Qualifications:

  1. Proven experience as an administrative assistant or similar role.
  2. Knowledge of office management responsibilities, systems, and procedures.
  3. Proficiency in MS Office (MS Excel, in particular).
  4. Familiarity with construction finance operations, AP and AR duties is essential.
  5. Strong organizational and planning skills in a fast-paced environment.
  6. Excellent time management skills and ability to multitask and prioritize work.
  7. Attention to detail and problem-solving skills.
  8. Excellent written and verbal communication skills.
  9. Strong interpersonal and relationship-building skills.
