We are seeking a highly organized and detail-oriented Front Desk Coordinator to join our team in San Francisco, California. In this role, you will be responsible for various administrative tasks, such as mail organization and dispatch, employee onboarding, and maintaining a clean and safe workspace. You will also be handling customer inquiries, ensuring a smooth and efficient operation of our front desk.


Responsibilities:


• Manage incoming and outgoing mail, including creating labels for outgoing mail and ensuring timely dispatch.

• Organize office materials and documents efficiently.

• Assist in setting up workstations for new employees, including arranging desks and ensuring necessary tech setup.

• Maintain a comprehensive knowledge of tools and software such as Gmail, SLACK, and Zendesk to assist employees and customers where needed.

• Ensure adherence to COVID-19 safety guidelines in the workplace.

• Handle scanning tasks diligently and maintain a well-organized digital filing system.

• Assist in shipping tasks, where necessary, including working with UPS.

• Greet employees and visitors, ensuring a welcoming and professional front desk service.

• Resolve customer inquiries effectively and professionally.

• Collaborate with various teams to ensure smooth operation of workplace activities.

• Candidate must possess strong receptionist duties experience, including managing incoming calls, greeting visitors, and coordinating mail and deliveries.

• Must have a background in providing administrative assistance such as scheduling appointments, maintaining records, and performing general office tasks.

• Excellent interpersonal and communication skills are required to interact effectively with staff, clients, and visitors.

• High level of organization and ability to multitask, prioritizing tasks as needed.

• Proficiency in using office software including word processing, spreadsheets, and database management.

• Ability to maintain a high level of confidentiality and handle sensitive information with discretion.

• Proven problem-solving skills and ability to work independently.

• Attention to detail and a high degree of accuracy is needed.

• Must be flexible and adaptable to changes in work duties or office procedures.

• Professional appearance and demeanor are essential.
