Position Summary:

The Executive Assistant to the Vice President of Student Services and Enrollment Management plays a crucial role in delivering comprehensive administrative and project support. This position is responsible for overseeing budget management within the division, maintaining organized filing systems, and acting as a liaison between various stakeholders. The Executive Assistant will also prepare written communications and gather materials for reports and presentations, while ensuring confidentiality in handling sensitive personnel and student information.

Key Responsibilities:
  • Oversee and maintain budgetary data for the division, including various departments such as Admissions, Advising, and Financial Aid.
  • Manage hiring processes for part-time staff, ensuring timely completion of contracts and confidentiality of personnel files.
  • Compile data and prepare reports to support the annual budget request, aligning with the College's strategic goals.
  • Update key performance objectives and reports for the Maryland Higher Education Commission on an annual basis.
  • Maintain and refresh divisional COOP Plans and ensure compliance with institutional documentation standards.
  • Assist the Vice President in preparing materials for college and divisional reports.
  • Utilize institutional software to provide relevant data, including student demographics and budget reports.
  • Organize and manage multiple projects, ensuring timely completion in collaboration with the Vice President.
  • Prepare confidential evaluations and maintain personnel files for staff evaluations.
  • Act as a communication bridge between the Vice President, colleagues, students, and external partners.
  • Participate in committees as assigned by the Vice President.
  • Schedule and prioritize meetings, coordinating with the Event Coordinator for logistics.
  • Perform general administrative duties, including managing correspondence, purchasing supplies, and arranging travel.
  • Track compliance with Title IX training and maintain related documentation.
  • Support Student Life initiatives and assist with various departmental tasks.
  • Attend and assist with college events as required.
  • Perform additional duties as assigned.
Qualifications:

Education: Associate's Degree in a relevant field; Bachelor's Degree preferred.

Experience: A minimum of three years in an administrative role.

Skills: Proficient in Microsoft Office Suite with strong communication and project management skills. Must be detail-oriented and able to work independently.

Proficiencies: Ability to manage multiple priorities, meet deadlines, and maintain confidentiality.

Work Schedule: Standard hours are Monday to Friday, 8 AM to 4:30 PM, with occasional evening or weekend work required.

Physical Requirements: This role is primarily sedentary, with occasional lifting of light objects.

Work Environment: Typical office setting with standard safety precautions.
