All employees, including those teaching online courses, must reside in Maryland or neighboring states. Applicants must be authorized to work in the US, as the College does not provide Visa sponsorship.

Role Summary:

The Executive Assistant plays a crucial role in providing comprehensive administrative and project support to the Vice President of Student Services and Enrollment Management. This position is responsible for overseeing budget management within the division and delivering regular updates to the Vice President. Key responsibilities include maintaining filing systems, liaising with various stakeholders, preparing correspondence, and compiling materials for reports and presentations. The Executive Assistant will also manage confidential files related to personnel and student matters.

Key Responsibilities:
  • Oversee budget data for all departments within the division, including Admissions, Advising, and Student Life, and initiate necessary budget transfers.
  • Manage budget lines for part-time personnel hiring, ensuring timely completion of contracts and maintenance of confidential files.
  • Compile data and reports to support the annual budget request, aligning with the College's strategic goals.
  • Update key performance objectives and Maryland Higher Education Commission reports annually.
  • Maintain divisional COOP Plans and ensure content is regularly updated.
  • Assist the Vice President in maintaining compliance documentation for Middle States accreditation.
  • Prepare materials and documentation for various college and divisional reports.
  • Utilize institutional software to provide data on student demographics and budget reports.
  • Manage multiple projects, ensuring timely completion in collaboration with the Vice President.
  • Compile confidential evaluations for the Vice President's review and maintain personnel files for staff evaluations.
  • Act as a liaison between the Vice President, colleagues, students, and external partners.
  • Participate in committees as appointed by the Vice President.
  • Schedule meetings and coordinate events, providing guidance to colleagues on scheduling processes.
  • Perform general administrative duties, including meeting minutes, supply purchasing, and correspondence management.
  • Track Title IX training and maintain relevant records.
  • Assist with various student life initiatives and events.
  • Support the Early College department with student paperwork and scholarship processes.
  • Participate in commencement ceremonies and assist with assigned duties.
  • Other responsibilities as assigned.
Qualifications:

Education: Associate's Degree in a relevant field; Bachelor's Degree preferred.

Experience: A minimum of three years in an administrative role.

Skills: Proficient in Microsoft Office Suite, with strong written and verbal communication skills. Experience in project management with a focus on organization and decision-making. Detail-oriented with a collaborative mindset and innovative ideas.

Proficiencies: Ability to manage multiple schedules, prioritize tasks, and meet deadlines while maintaining confidentiality and discretion.

Work Schedule: Monday to Friday, 8 AM to 4:30 PM. This position may require occasional evening or weekend hours.

Physical Requirements: This role involves sedentary work with occasional lifting of up to 10 pounds. Some walking and standing may be necessary.

Work Environment: Typical office setting with standard safety precautions.
