Job Overview

Cape Fox Federal Contracting Group is seeking a highly skilled Training Operations Support Specialist to join our team. This role offers an exciting opportunity to provide technical support for training programs and events, ensuring seamless execution and exceptional customer service.

Responsibilities
  • Provide registration and database support for various training courses sponsored by USAID bureaus, offices, and divisions.
  • Maintain a monthly synopsis calendar of all HCTM-sponsored training events held in the Washington Learning Center, rented classrooms in the Washington, D.C. area, and at USAID missions overseas.
  • Create new accounts and assist users with registering through the Learning Management System (LMS), including password assistance, assigning supervisors, and registering for classes.
  • Enter applicable information into the LMS and notify participants and HCTM staff specialists regarding enrollment dates, times, and locations.
  • Add courses to the LMS and record course completions by each employee in the training database.
  • Respond to LMS and training-related inquiries generated via phone and email.
  • Assist with using the automated online SF- forms and provide course attendance rosters that list selected participants and a waitlist of non-selectees.
  • Update students' records in the LMS with information on who attended and completed the training.
  • Provide training reports for Agency staff, including course attendance, completion, and subject area, on-demand and delivered electronically upon request.
  • Manage classroom scheduler functions, class enrollment, prerequisites requirements, and the LMS course approval queue.
  • Update tuition data for all classes in the LMS and assist users with registering for training, accessing transcripts, and obtaining completion certificates.
  • Maintain an electronic archived file of LMS users who have left the Agency for seven years from the date of departure, serving as evidence of successful course completion when separated employees return to USAID in subsequent positions.
  • Report classroom no-shows to Training Program Managers by 10:00 a.m. the day a new course opens.
  • Provide course rosters at least once per month for specific training courses and monitor every three days those class rosters with waiting lists to fill unexpected vacancies.
  • Actively work with course facilitators to fill vacant seats with wait-listed staff for courses offered in the Washington, D.C. area.
  • Process hardcopy SF-s, check for completeness and accuracy, and forward to the appropriate training vendor.
  • Notify requestors within one full day of acceptance or non-acceptance into the requested training course.
  • Provide the date, time, and location of the course, and notify participants of any changes within five working days of receipt of training requests.
  • Input data from received SFs into the LMS and fax, scan, or email completed training forms to third-party training institutions.
  • Confirm enrollments, notify participants and HCTM staff specialists of enrollment dates, times, and locations, and confirm course completion on a quarterly basis to assist in reconciling training invoices.
  • Maintain a log of Foreign Service Institute enrollments, the dates training request forms are forwarded to FSI, and when participants were notified of enrollment.
Requirements
  • A minimum of five years' experience providing support to end-users on a variety of issues.
  • Ability to identify, research, and resolve technical problems, respond to telephone calls, email, and personnel requests for technical support, document, track, and monitor the problem to ensure timely resolution.
  • Possess qualities in customer-service skills, listening skills, problem-solving skills, speaking skills, and writing skills.
  • Ability to work under deadline pressure, handle stress, and deliver professional results.
  • Strong written and oral communication skills, organizational skills, and attention to detail.
  • Self-motivated with minimal oversight.
  • Computer skills including Microsoft Word, Excel, PowerPoint, and Outlook.
  • Authorization to work in the United States as defined by the Immigration Reform Act.
  • Able to obtain and maintain USAID facility access.
Estimated Salary Range:

$62,000 - $80,000 per year, depending on qualifications and experience.
