Job Summary

The University of South Carolina seeks an Executive Support Specialist to join their team in the School of Medicine Greenville Office of the Dean. This role will provide administrative support to leadership and operational committees, working directly with stakeholder groups, students, faculty, staff, and institutional offices.

Key Responsibilities

  • Provide support and coordination for the Dean and designated team members
  • Manage administrative tasks, including scheduling appointments, travel, and planning events
  • Draft written documentation and correspondence, screen and evaluate correspondence, and prepare responses as needed
  • Build presentations using PowerPoint and provide office support, including screening and handling telephone communications, greeting and directing visitors, and handling administrative problems and inquiries
  • Order supplies, coordinate meals for meetings and committees, and submit financial payment requests and documents on behalf of the Office of the Dean
  • Organize and facilitate meetings, including communication of agendas, call for materials, and compilation and timely distribution of meeting minutes
  • Maintain departmental records and databases, establish and maintain files and records for the office, and assist in the management of due dates for reports, surveys, and responses
  • Provide training and cross-coverage for other administrative personnel during times of increased demand and/or absence, and provide on-site technical support when the IT department is unavailable
  • Assist with the onboarding of new employees, including the completion of paperwork to request badges, keys, and technology


Requirements

  • Bachelor's degree and 1 year of work experience directly related to the area of employment, or high school diploma and 5 years of work experience directly related to the area of employment
  • Detail-oriented with excellent verbal and written communication skills and the ability to maintain confidentiality in a professional manner
  • Computer proficiency in Microsoft Office Suite
  • Exceptional communication skills, highly organized, and able to prioritize tasks
  • Ability to work independently and maintain a professional demeanor
  • Knowledge of modern office practices, procedures, and equipment


Estimated Salary
$60,000 - $80,000 per year
