As a Community Association Manager at Affinity Management Services, you will play a pivotal role in cultivating positive relationships with association boards, addressing unit owners' needs, managing vendors, and overseeing the association's finances.

Job Description:

  • Key Responsibilities: Develop and maintain a professional relationship with the Board of Directors and homeowners, promptly addressing service requests and investigating serious complaints.
  • Vendor Management: Develop and foster relationships with association vendors to ensure cooperation and supervise the quality of their services.
  • Asset Protection: Plan, direct, and oversee the implementation of comprehensive systems for the protection of community assets and records in a professional manner.
  • Facility Inspection: Inspect the community and facilities to determine maintenance and security needs. Ensure safety rules are communicated and enforced.
  • Accident Investigation: Investigate accidents and claims for property damage, including damage or destruction to common elements, and prepare fully written reports.
  • Meeting Preparation: Prepare meeting agendas, supervise file and record management, and attend Board of Directors and Annual or Special Meetings.
  • Financial Management: Assist in the preparation of monthly financial reports, ensuring accuracy and variance trend analysis.
  • Association Finances: Manage the association's finances, understand financial statements, and provide guidance to the board to make sound decisions.
  • Budgeting: Prepare the association's annual budget, analyze expenses item by item, and suggest adequate funding for financial responsibility.
  • RFP Analysis: Prepare RFPs for job requests and analyze bids to ensure an accurate comparison and presentation of project specifications.
  • Community Improvement: Provide reports to the Board of Directors with recommendations to enhance community appearance, values, and promote harmony among residents.
  • Emergency Response: Respond to and act on association emergencies in a timely manner.
  • Major Projects: Manage major improvement projects, including preparing RFPs for projects exceeding $10,000, coordinating meetings, and overseeing vendor interactions.
  • Staff Scheduling: Schedule and review staff assignments to ensure adequate coverage while working within the assigned budget.
  • Payroll Review: Review and approve payroll for direct employees and vendor invoices before payment.

Requirements:

  • Bilingualism Preferred: Bilingual (English, Spanish) is preferred.
  • CAM License Required: Active CAM License is required.
  • Minimum Experience: Minimum 5 years of management experience is required.
  • High-Rise Experience: Experience with High-Rise Condominiums and HOA Management is required.
  • Computer Skills: General Computer Skills are required.
