Affinity Management Services LLC is seeking a highly motivated and experienced Community Association Manager to join our team. As a Community Association Manager, you will play a crucial role in fostering positive relationships with association boards, addressing unit owners' needs, managing vendors, and overseeing the association's finances.

Responsibilities:

  • Develop and Maintain Relationships: Develop and maintain a professional relationship with the Board of Directors and homeowners, promptly addressing service requests and investigating serious complaints.
  • Manage Vendors: Develop and foster relationships with association vendors to ensure cooperation and supervise the quality of their services.
  • Implement Asset Protection Systems: Plan, direct, and oversee the implementation of comprehensive systems for the protection of community assets and records in a professional manner.
  • Inspect Facilities: Inspect the community and facilities to determine maintenance and security needs. Ensure safety rules are communicated and enforced.
  • Investigate Accidents: Investigate accidents and claims for property damage, including damage or destruction to common elements, and prepare fully written reports.
  • Prepare Meeting Agendas: Prepare meeting agendas, supervise file and record management, and attend Board of Directors and Annual or Special Meetings.
  • Assist in Financial Report Preparation: Assist in the preparation of monthly financial reports, ensuring accuracy and variance trend analysis.
  • Manage Association Finances: Manage the association's finances, understand financial statements, and provide guidance to the board to make sound decisions.
  • Prepare Budgets: Prepare the association's annual budget, analyze expenses item by item, and suggest adequate funding for financial responsibility.
  • Prepare RFPs: Prepare RFPs for job requests and analyze bids to ensure an accurate comparison and presentation of project specifications.
  • Provide Community Development Reports: Provide reports to the Board of Directors with recommendations to enhance community appearance, values, and promote harmony among residents.
  • Respond to Emergencies: Respond to and act on association emergencies in a timely manner.
  • Manage Major Projects: Manage major improvement projects, including preparing RFPs for projects exceeding $10,000, coordinating meetings, and overseeing vendor interactions.
  • Schedule Staff: Schedule and review staff assignments to ensure adequate coverage while working within the assigned budget.
  • Approve Payroll: Review and approve payroll for direct employees and vendor invoices before payment.

Requirements:

  • Bilingualism Preferred: Bilingual (English, Spanish) is preferred.
  • CAM License Required: Active CAM License is required.
  • Minimum Experience: Minimum 5 years of management experience is required.
  • High-Rise Experience: Experience with High-Rise Condominiums and HOA Management is required.
  • Computer Skills: General Computer Skills are required.
