Position Overview:
The Room Allocation Specialist plays a crucial role in the Front Office team, reporting directly to the Assistant Front Office Manager or Front Office Manager. This position is responsible for overseeing the room inventory and ensuring that guest requests are met efficiently and effectively.

Key Responsibilities:

  1. Manage and pre-assign suites and rooms in the Property Management System (PMS) based on guest preferences and requests, with a focus on VIP accommodations.
  2. Communicate with front desk personnel and management regarding any overbookings, special requests, or challenges that arise.
  3. During peak periods, conduct room protection measures to safeguard reservations for future arrivals.
  4. Review group resumes and tour bookings to confirm accuracy in reservation details and billing within the PMS.
  5. Participate in daily business review meetings to stay informed about occupancy trends, new bookings, and modifications to existing reservations.
  6. Ensure billing information for third-party bookings and group blocks is accurate and complete.
  7. Answer front office calls with professionalism, addressing guest inquiries and concerns, and directing special requests to the appropriate departments.
  8. Document guest issues requiring departmental action and follow up as necessary.
  9. Collaborate with engineering and housekeeping to manage out-of-order and out-of-service rooms.
  10. Perform additional duties as assigned.

Required Skills:

  1. Proficient in Microsoft Word, Excel, and Outlook, with strong internet navigation skills.
  2. Exceptional organizational abilities and adaptability.
  3. Experience with hotel PMS systems and operational knowledge.
  4. Strong interpersonal skills with excellent verbal and written communication capabilities.
  5. Professional telephone manners.
  6. Familiarity with general office equipment, such as fax machines and printers.
  7. Demonstrated tact and judgment in interactions with guests and hotel management.

Qualifications:

  • High school diploma is required.

Experience:

  • A minimum of 6 months of experience in a hotel rooms division is preferred.

Compensation:
$18 per hour
