Job Responsibilities
The Warranty-Service Clerk plays a crucial role in ensuring the efficient operation of the Service Department. Key responsibilities include:
1. Preparing shop repair orders upon job completion, ensuring accurate documentation of repairs, parts, and labor.
2. Submitting warranty claims for all eligible repair orders to the Warranty Manager for approval.
3. Processing warranty claims for failed parts purchased by customers, facilitating submission by the Warranty Manager.
4. Assisting the Warranty Manager in correcting and re-filing warranty claims that have been returned due to errors.
5. Maintaining a ledger of all parts returned for warranty and keeping records of shipment documentation, providing weekly updates to the Warranty Manager.
6. Creating and filing copies of all warranty-related claims, credits, and debits.
7. Ensuring the timely return of all parts to their designated locations on a weekly basis.
8. Addressing warranty inquiries from service, parts, and sales departments.
9. Supporting the Service Department by answering phones during peak times.
10. Monitoring open repair order reports weekly to ensure proper documentation flow throughout the dealership.

Additional Responsibilities
Willingness to perform other miscellaneous tasks as required by the business.

Qualifications
- Minimum high school diploma required; additional coursework is a plus.
- At least 1 year of experience in parts or service, with 2 years preferred; warranty experience is beneficial but not mandatory.
- Proficient in reading and interpreting computer-generated reports, invoices, and office documents.
- Capable of performing calculations manually or using a calculator/computer.
- Familiarity with operating computer terminals, 10-key calculators, fax machines, and other office equipment.
- Strong communication skills to interact positively with customers, vendors, and colleagues.
