Position Overview

TalentLink Solutions is a dynamic and expanding Registered Investment Advisor (RIA) seeking to enhance our operational framework. We are looking for an individual who can adeptly manage multiple responsibilities, allowing our founder to concentrate on business development. Initially, this role will involve close collaboration between you and the founder to realize our vision. As the organization grows, there will be ample opportunities for you to evolve your role based on your interests and strengths.

This position is fully remote, offering flexibility to work from anywhere in the United States. However, if you are located near West Central Florida, we encourage collaboration days for enhanced teamwork.

We are currently in search of a Senior Client Service Associate to play a crucial role in refining our operational strategies and processes. You will provide support to our founder, our clients, and our ongoing growth initiatives, ensuring seamless operations focused on client satisfaction. Your responsibilities will encompass client-specific tasks, account management, and various business functions. Whether it's establishing new accounts, addressing service inquiries, scheduling meetings, or managing communications, you will take ownership of each task and see it through to completion. You will collaborate with leadership to propose improvements and possess the determination and project management skills necessary for implementation. We seek a candidate who exemplifies humility, dependability, and outstanding communication abilities. Your proactive approach will enable you to manage tasks efficiently, allowing the firm owner to prioritize client engagement and business expansion. Additional responsibilities may include basic office management, vendor relations, compliance, and marketing activities.

Key Responsibilities:

  • Prepare investment and insurance account documentation and oversee asset transfers.
  • Respond promptly to client service inquiries, troubleshoot issues, and deliver effective solutions.
  • Manage cashiering functions with custodians, ensuring accurate and efficient processing of financial transactions.
  • Oversee the life insurance and/or annuity processes, including applications, design, exam scheduling, and policy finalization.
  • Collaborate with custodians to complete new account applications and various maintenance tasks, processing cash and securities transactions as needed.
  • Organize, coordinate, and maintain all client documentation and electronic files within our client portal, facilitating collaboration with clients and colleagues.
  • Update and maintain client information within CRM systems and internal reports.
  • Schedule client meetings, manage calendars, and coordinate scheduling both internally and externally.
  • Research and prepare necessary materials for client meetings, including documents, notes, reports, and presentations.
  • Monitor and optimize workflows for client service and operational tasks.
  • Track, process, and assist clients with the Required Minimum Distribution (RMD) process.
  • Proactively communicate with clients and other advisors, providing updates and addressing concerns.
  • Conduct research, prioritize issues, and follow up on inquiries.
  • Collaborate with the founder and team in various areas, including marketing, human resources, and events.

Qualifications:

  • Bachelor's degree preferred, or equivalent professional experience.
  • At least 5 years of progressive experience in client service and operations within investment management, financial planning, and insurance.
  • Proven ability to enhance operational processes and deliver exceptional client service.
  • Exposure to investment advisory compliance and direct regulatory experience preferred.
  • Strong understanding of investment and financial planning management concepts.
  • Familiarity with software such as Wealthbox, Asset-Map, Holistaplan, or similar tools preferred.
  • Advanced proficiency in Microsoft Office.
  • Experience with Apple products is highly preferred.
  • Experience working with Schwab as a custodian is preferred.
  • Self-motivated and capable of working independently while thriving in a collaborative environment.
  • Strong desire to contribute to key business decisions and provide valuable insights.
  • Reliable, responsible, and detail-oriented with exceptional organizational skills.
  • Outstanding verbal and written communication skills.
