Key Responsibilities:

The selected candidate will collaborate closely with the account manager and team members to ensure exceptional service delivery, effective communication, and timely responses to our clients and corporate office needs. Responsibilities include:

  • Coordinating technician schedules to align with customer requirements.
  • Drafting contracts for execution, managing invoicing, and facilitating communication among relevant internal teams.
  • Providing comprehensive administrative support, which encompasses the creation and maintenance of letters, invoices, spreadsheets, reports, and other necessary documentation.
  • Demonstrating efficiency and confidence in performing tasks, sometimes with minimal supervision.
Qualifications:

To effectively fulfill the demands of our organization and our clients, the ideal candidate will possess the following qualifications:

  • A minimum of 3-5 years of recent experience in administrative support.
  • At least 2 years of accounting experience is preferred. Familiarity with mechanical contracting is advantageous but not mandatory.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • A willingness to learn additional software applications as necessary. Knowledge of AIA forms, certified payroll, and prevailing wage regulations is a plus.

The candidate should exhibit strong communication and interpersonal skills, capable of engaging positively with all organizational levels in a proactive, team-oriented manner. Excellent written and verbal communication skills, a collaborative spirit, and a professional demeanor are essential.

Additionally, a valid driver's license is required.
